About the Role The Office Lead is the heartbeat of clinic operations ensuring the front‑of‑house runs smoothly, our patients receive an exceptional experience, and our administrative processes are efficient and well‑coordinated. You’ll lead a small team of friendly and dedicated administrators, work closely with clinicians and partners, and oversee key operational activities such as rostering, patient bookings, and team training. This role is perfect for someone who enjoys variety, thrives in a fast‑paced environment, and takes pride in creating order, structure, and a welcoming clinic culture. Additionally, this role will require a minimum commitment of working every Tuesday, Wednesday and Thursday . Key Responsibilities Oversee daily administrative operations to ensure seamless clinic workflows and patient care delivery, while contributing to marketing and community engagement initiatives as needed. Manage front desk activities including bookings, billing, correspondence, and patient communication. Coordinate staff rosters, leave, and coverage in consultation with Clinic Partners. Lead the administration team by example (coaching, onboarding and induction) to ensure consistent, high-quality service and adherence to Healthia standards. Maintain clinic readiness and compliance with privacy, safety, and infection control standards, including cleanliness, stock management, and presentation. Proactively manage debtors and ensure timely follow-up of outstanding accounts, supported by precise and efficient bank reconciliations. About You You’ll be an experienced administrator or team leader who loves keeping things running efficiently while supporting others to do their best work. You’re confident communicating with patients, staff, and clinicians alike, balancing empathy with professionalism. You’ll bring Experience in a senior administrative or leadership role (healthcare or customer-facing environment preferred). Excellent organisational and coordination skills, with a proactive and detail-oriented mindset. Experience managing rosters, schedules, or workflows. Strong interpersonal and leadership skills with a passion for mentoring others. Proficiency with Microsoft Office and practice management systems.
