Client - NSW Department of Customer Service Rate & term - $520 per day including Super | ASAP to 14th August 2026. Location & work arrangements- Hybrid - full time on site during festival period. Working hours - 8 hours per day, 40 per week, typically 9-5 with flexible hours during the event, up to 6 days a week during festival period. The Partnerships Coordinator supports the delivery of Vivid Sydney by assisting the Partnerships team including assistance with coordinating corporate, government and commercial partners for Vivid Sydney. The Opportunity: We are seeking a highly experienced and delivery-focused Partnerships Coordinator for a critical contract role supporting the iconic Vivid Sydney festival. This is not a junior support role. We are looking for a seasoned professional with ~5 years of experience specifically in event partnerships. You will be a key player in the Partnerships team, responsible for managing the implementation of marketing deliverables, coordinating partner activations, and ensuring all contractual obligations are met. Your relationship management skills will be essential as you'll be engaging directly with high-profile corporate, government, and commercial partners in a very agile, fast-paced festival environment. Key Responsibilities: Your role is centered on delivery, implementation, and relationship management. Partner Delivery & Relationship Management: Act as a key day-to-day contact for partners, managing relationships with exceptional communication and critical attention to detail. Provide significant onsite engagement and support to partners during the festival. Support the senior team in the delivery of all contracted partnership deliverables and help manage the daily operational workload. Marketing & Content Implementation: Manage the coordination and delivery of partner content across all Vivid Sydney marketing channels, including digital event signage, social media, eDMs, and the website. Oversee the full approvals process, specs, and implementation timelines for all sponsor content. Coordinate partner content for website "Deals" and eDM inclusions. Event & Activation Coordination: Work directly with partners on the delivery of their brand activations and other sponsored events (e.g., Vivid Ideas sessions). Liaise with the Destination NSW Hospitality Manager to coordinate partner invite lists and ticket allocations for official engagements (e.g., Opening Night). Assist partners with content capture requirements, including managing filming permits and permissions during preview week and the festival. Digital & Website Coordination: Coordinate all sponsor content on the website, including sponsor pages, event/activation pages, and sponsor acknowledgements. Manage all approvals and conduct regular website audits to ensure accuracy. Work with the Social Media team to collect partner handles and assist with social media campaigns. Project Management & Reporting: Use Monday.com (the team's primary tool) to track deliverables, manage timelines, and coordinate approvals. Assist in collecting insights, data, and content for comprehensive post-event partner reports. The Ideal Candidate Profile: This role requires a specific blend of experience. ~5 years of experience in a partnerships, sponsorship, or marketing role. Direct experience working on major events is critical. You must be comfortable in a fast-paced, agile, "all-hands-on-deck" festival environment. Proven Delivery Focus: A track record of successfully implementing marketing deliverables and co-branded campaigns. Exceptional Relationship Management: Demonstrated experience liaising with high-profile sponsors and senior stakeholders. Flawless Time Management: Elite organizational skills with the ability to prioritize, meet tight deadlines, and manage competing tasks under pressure. Outstanding Communication and meticulous attention to detail. Highly Desirable (Will set you apart): Experience using Monday.com is very helpful. Specific experience managing the delivery of brand activations onsite at an event. Government experience (working within or liaising with government entities) would be a significant advantage. Tertiary qualifications in marketing or a relevant field are valued, but proven, direct experience in a similar event partnership role is the highest priority. Services will require ongoing commitment of 5 days per week during pre and post Festival periods with 6-day weeks for the 6-week festival period to include Bump in, Festival and Bump out and should quote accordingly, whether that be on a daily basis or for the completion of Services required as a whole. Most weeks are 3 days in Sydney office and 2 days from home, excluding the festival period where all 6 days are onsite or in office.
