The Role A new full‑time opportunity has been created for a detail‑orientated multi‑tasker. The Data Entry Administrator is responsible for providing accurate and efficient administrative support to the Black Swan Health Disability Team. Duties and Responsibilities of the Position Answer incoming phone calls on the ‘Psychosocial Services’ and ‘Disability Services and NDIS’ lines Respond to queries received in the Disability and Psychosocial Services email inbox, and distribute emails to the appropriate member of the Disability Team or other Black Swan Health programme Contact participants to inform them of late cancellations, in the event of unexpected staff absences Process referrals (check eligibility criteria, log referrals on the client database, and reply to the referrers). This will also involve taking self‑referrals over the phone Compile a monthly summary of Psychosocial Support Programme referral sources for the Engagement Officer of the Marketing Team Maintain and upkeep the database of services Take minutes at team meetings and distribute them to the team via email Assist the Disability and Psychosocial Services Manager with recruitment tasks as instructed – e.g. scheduling interviews and performing reference checks Be flexible and proactive to assist staff with other administrative tasks within your scope of work Other duties as required The successful candidate will have Working with Children’s Check Eligibility to work in Australia Previous experience in an administration or receptionist role Strong written and verbal communication skills, including a professional phone manner Treat all people with respect and dignity, and demonstrate care and compassion for people experiencing distress from severe and persistent mental health issues Maintain confidentiality and privacy of client and staff information A proactive and flexible attitude to assisting the team and taking on additional tasks when time permits Ability to enter data efficiently and accurately, with high attention to detail Well‑developed organisational skills, including prioritising and managing competing deadlines High‑level computer skills, including demonstrated experience with MS Office Suite Previous experience working in a mental health or disability setting (desirable) The benefits Salary packaging up to $18,550 that can apply to a range of benefits such as mortgage, rent, entertainment, holiday accommodation, other everyday living expenses as well as options to salary package benefits above the FBT cap on items such as: Novated leasing Work related expenses Close access to public transport Employee support through our dedicated free Employee Assistance Program (EAP) Work within a passionate and dynamic multidisciplinary team Shortlisting will commence immediately.
