Who We Need As the Filings Team Leader, you will report to the Filings Manager and work closely with other Managers, Team leaders and the Firm Leadership Team, as required. The primary purpose of this role is to manage the Foreign Filings team for client facing and revenue producing services. The Filings Team Leader role is a management role overseeing the people, processes and work allocation, whilst undertaking some Foreign Filing duties. This position is responsible for ensuring the Filings Paralegals operate effectively and efficiently and ensures an excellent standard of client service is maintained, internally and externally. This position ensures the team have the tools and support required to perform their roles efficiently. With responsibility for a number of reports, the Filings Team Leader will set and drive a culture in the team which aligns with the firm values. As a team leader, they will role model the firm values and champion projects and initiatives set by the Head of Operations and wider leadership team. Location Melbourne/Sydney Some Key Responsibilities Lead by example, modelling firm values and fostering a high-performing, engaged team. Manage the Filings team, including planning, resourcing, recruitment, performance management, and succession planning. Allocate work effectively, provide coaching, training, and support, and ensure compliance with risk and operational standards. Act as first point of contact for day-to-day team leadership and elevate issues to the Filings Manager as needed. Build and maintain strong relationships with internal and external clients, stakeholders, and service providers. Drive consistent, high-quality service delivery and propose process improvements to enhance client experience and efficiency. Actively participate in case management, contributing to team workload and backfilling where needed. Support operational and strategic initiatives across the firm and collaborate on business development, tenders, and client cost estimates. Provide specialist advice to internal stakeholders, share knowledge across teams, and maintain confidentiality and compliance. Support development and maintenance of client‑specific processes, training guides, and other operational documentation. Experience & Skills Ability to manage and lead a national team including providing day-to-day operational guidance and support, showing developing leadership capability Expert knowledge of IP industry and filing process and ability and willingness to undertake Foreign Filing tasks efficiently and effectively Ability to meet all client requirements including specific case filing instructions, invoicing requirements and correspondence procedures. Ability to contribute to and help drive projects throughout their lifecycle. Government clearance for sensitive work/clients as needed Strong customer service work ethic Advanced MS Outlook, MS Word and word processing skills (typing, formatting, spelling and grammar) Outstanding stakeholder management and excellent communication skills (written/verbal) and presentation skills.
