About the Role The Rostering & Bookings Officer plays a key role in ensuring the smooth delivery of high‑quality supports across Stellar Experiences. This position is responsible for scheduling staff, managing activity bookings, and coordinating guest participation across multiple programs and regions. The ideal candidate will be organised, responsive, and able to balance multiple priorities while maintaining excellent communication with guests, families, and team members. Key Responsibilities Rostering & Scheduling Create and manage rosters for Social Outings, 1:1 supports, Programs, Overnights, and Gather events. Coordinate staffing to ensure all supports are covered with appropriately skilled team members. Respond promptly to changes, cancellations, or urgent rostering needs. Collaborate with team leaders to ensure staffing aligns with participant needs and funding requirements. Bookings & Activity Coordination Assist with purchasing tickets and managing activity bookings for social outings, experiences, and programs across all regions. Assist with setting up and coordinating social nights in Sydney, including booking venues, confirming attendance, and ensuring accessibility requirements are met. Track and update website information for all supports, ensuring accuracy and consistency across regions. Guest & Stakeholder Support Process and fill new 1:1 support requests from guests in a timely and person‑centred manner. Support Guest Experience Coordinator with liaising with guests, families, and support coordinators to confirm bookings, clarify details, and ensure a positive experience. Provide clear communication regarding activity logistics, staffing changes, or booking updates. Systems & Administration Maintain accurate records across internal systems, including ShiftCare and other scheduling platforms. Ensure compliance with organisational policies, NDIS guidelines, and documentation standards. Generate reports on bookings, attendance, and rostering as required. Skills & Experience Previous experience in rostering, scheduling, or bookings coordination (disability or community services experience highly regarded). Strong organisational and time‑management skills. Excellent communication and customer service abilities. Proficiency with scheduling software (e.g., ShiftCare) and general digital literacy. Ability to problem‑solve, adapt quickly, and manage competing priorities. Understanding of NDIS practices and participant needs (desired but not essential).
