The Program Coordinator will be a key support to the Manager of Stadiums in driving stadiums and user group performance at the Casey Stadium. The core purpose of the position is to develop and maintain strong connections with all key stakeholders including all user groups and tenants, Council and the community. These relationships will ensure high customer and user satisfaction is achieved through strong communication, planning and access to our stadiums network. With oversight of all stadium bookings; the Program Coordinator will be responsible in supporting the Manager of Stadiums in acquiring new bookings and maintaining existing long-term bookings from early connection all the way through to post event accounts management. This position will work relentlessly to implement the Aligned Leisure purpose of connecting to thrive and win, values of AWARE, DISCIPLINED, RELENTLESS and UNITED, and associated behaviours throughout the entire team. The Stadium Program & Booking Coordinator will also undertake regular stadium shifts and must be available to work a mixture of early morning, daytime, evening and weekend hours in the event assistance is required. The Program Coordinator may from time to time be required to undertake other tasks as directed by the Manager of Stadiums. Key Responsibilities Coordination of competition sports and stadium programming Oversee all competition sports and stadium programming Maximise court occupancy, revenue and team satisfaction by well-planned and communicated sporting fixtures, including through finals periods. Maintain an accurate and detailed sports competition management system, allowing for regular and direct communication to all customers. Manage all sporting team registrations, affiliations, insurances and payments. Oversee the rostering of all competition and programming staff, including match payments and associated paperwork. Ensure consistent quality of coaching standards and service through regular evaluation, feedback, and development. Manage competitions finals periods as a major event, particularly junior sports. Be visible and present regularly across all competition and program times. Ensure accurate and timely bookings information is maintained for both customers and staff across the stadium facilities. Develop strong operational relationships with all key user groups ensuring up to date and accurate bookings occur at all times. Ensure all bookings are accurate including setup and other booking requests in our CRM system to ensure Duty Captains across the sites can prepare booked areas to provide a seamless experience for all users. Maintain regular contact with all user groups to clarify and validate booking schedules ahead of time; ideally 1 month in advance. Work collaboratively with the Head of Stadiums to maximise court occupancy across all courts, and spaces within the stadium facilities. Maintain up to date databases and contact information for all user groups and ensure regular and timely communication is implemented across the community. Maintain up to date user agreements with all relevant supporting documentation. Work collaboratively with the Casey Stadium centre manager to provide visible leadership and customer service to all stadium departments. Establish and maintain strong relationships with all sporting team captains or coaches to aid retention. Ensure the highest levels of cleanliness and presentation at all times, especially in spectator areas. Ensure all sporting results are accurately entered into the system and available to public view regularly throughout each shift. Ensure that the facility is set up for programs, liaising with user groups and other staff as required. Educate all officials on the shifts activities to ensure they are prepared to deliver the best possible service. Welcome and educate new participants so they feel comfortable in the stadium environment. Ensure all games and programming start on time. Take responsibility for all sporting equipment, its safe use and storage. Ensure all reports, checklists and procedures are completed and signed off by the Duty Captain. Maintain relevant internal accounts receivable and invoicing processes in line with Finance department timelines and systems. Ensure all user group outstanding debt is managed, collected, and received. Ensure Manager of Stadiums is made aware of any significant outstanding debt to enact a recovery and collection plan relative to their portfolio. Ensure all relevant internal reporting and forecasting is completed and when requested all future budget information is provided. Maintain exceptional working relationships with sporting associations and clubs. Lead customer service initiatives and training within all sports, especially working with sports officials to understand their role in service of our customers whilst officiating matches. Essential Qualifications and Experience Experience in a similar role preferred but not essential. Experience working in a Stadium Fixturing / Booking system and other relevant IT/PC software. Position requires relevant pre-employment checks such as a police check and must maintain a current Working with Children Check. Current First Aid and CPR certificate. Working with Children Check.
