The Program Compliance Officer is responsible for managing compliance, documentation, and enrolment processes for State Government funded training programs. This role ensures students and employers meet eligibility requirements, records are accurate, and all program obligations are fulfilled. The position is central to program accuracy, regulatory compliance, and efficient coordination between employers, students, and internal teams. Key Responsibilities Student and Employer Administration Conduct eligibility checks for under 25’s funding, apprenticeships, traineeships, and RPL Collect required documents, information, and signatures Follow up on missing information from students and employers Prepare and send compliance-based communication Notify Operations when enrolment and payment are confirmed Traineeship and Apprenticeship Coordination Liaise with ACAPS to organise sign ups, ERAs, and training plans Monitor ERA progress and training plan completion Follow up with employers to ensure accuracy and compliance Escalate concerns such as workplace suitability or supervision changes Funding Pathway Support Assist in reviewing and confirming the correct funding pathway Identify and report eligibility or compliance risks Prepare and submit payment information including Avetmiss and DESBET requirements Communication and Customer Service Respond to enquiries regarding eligibility, funding rules, enrolment options, and next steps Prepare clear and professional communication for students, employers, AASNs, and consultants Complete 12‑week check‑ins and update records Maintain accuracy, clarity, and professionalism in all communication HubSpot and Document Management Update CRM records after every interaction Maintain accurate documentation including ERAs, training plans, and correspondence Ensure all records remain audit‑ready and compliant with government and RTO standards Internal Compliance Support Provide administrative support as required Escalate compliance issues promptly Assist in updating internal procedures, templates, and compliance documentation Key Skills and Attributes High attention to detail and strong commitment to accuracy Strong communication and stakeholder management skills Highly organised with the ability to manage multiple tasks and deadlines Professional, confident, and proactive approach Comfortable interpreting funding rules, program schedules, and compliance requirements Experience in RTO environments, apprenticeships, traineeships, or government funding programs is highly regarded Strong CRM and document management capability with HubSpot experience ideal Success Measures Accurate and compliant eligibility checks Timely completion of ERAs and training plans High quality, consistent, audit‑ready records Compliance maintained across all program requirements Clear communication and strong stakeholder satisfaction Application Questions Which of the following statements best describes your right to work in Australia?
