Role: VET Administrator Reports to: National VET Administration Manager Location: Perth Salary Range: $55,000 - $60,000 Description Reporting to the National VET Administration Manager the VET Administrator will provide office support to teams in ILSC Education group for the smooth running of day‑by‑day operations. The VET Administrator also provides support to all students at all Greystone college campuses in Australia. Job Duties Providing support to students general and academic inquiries on a daily basis through: VET student support email On campus support Preparing for each intake and sending relevant information to students Updating study portal (Moodle) and student management system (Odyssey) Checking students entry conditions Communicating with Registration and Student Advisor teams about students status Sending welcome email Placing students in classes using Odyssey Issuing qualification certificates, statement of attainments and other official letters Following up students first‑day forms including USI number and AVETMISS questionnaires Verifying students USI number Checking and following up students eligibility into future courses through academic progress checks in previous course(s) Required English level checks Sending reminders to students enrolled in courses that require prerequisite completion Managing student access on Moodle for graduating students and students with outstanding payments Sending general announcements and other notifications to students Supporting preparing VET graduation ceremonies Preparing resources for course delivery such as class setting (online and on campus) and attendance sheets Inputting data into Odyssey and PRISMS Checking and recording credit transfers between courses Updating VET Student Records (VSR) Sending booking information to students on Academic Progress (AP) Communicating with the VET National Administration Manager regarding any updates, concerns or considerations Regular communications and an open door mentality Daily meetings Working collaboratively and cohesively with National VET Academic Advisors, National Quality Assurance, National Registration, Global Curriculum, Global Sales Global HR and Global Executive teams Contributing to Work Health and Safety identification and participation in committees ensuring a safe and supported work environment Key Leadership Accountabilities Deliver exceptional support for all students, faculty and other departments Act as a role model for a culture among staff that is open to change and supports continuous quality improvement, collaboration, respect, accountability and ILSC Education Group core values Demonstrate high levels of integrity with decision making and adherence to key legislation and compliance Navigate complex interpersonal scenarios with care, compassion and a high level of emotional intelligence and respect Commit to teamwork and the construction of a supportive collaborative work environment with the ability to lead, supervise, coach and mentor employees Ensure a discrimination‑free environment is provided and that the Equal Opportunity legislation is fully complied with Develop and maintain effective relationships and networks within the broader ILSC Education Group global community Foster a team approach with team members through regular meetings, collaborative problem‑solving, professional development and the dissemination of information Essential Qualifications, Skills and Attributes Exceptional organisational and administrative skills including the ability to prioritise tasks and meet deadlines A can‑do attitude and commitment to supporting the wider ILSC Education Group Ability to perform in a diverse work environment Awareness of the needs and challenges of the international student community Networking and relationship‑building and collaboration skills High level of emotional intelligence and ability to effectively manage conflict and difficult situations Ability to maintain composure, balance workload and conflicting priorities Technology skills required to navigate Microsoft 365 programs, Moodle (LMS), Odyssey, SharePoint and other programs and platforms as required Contact Information: While we thank all applicants, only those who are shortlisted will be contacted.
