The Team Royal Hobart Hospital is the tertiary referral hospital in Tasmania. The hospital provides all general and specialty medical and surgical services as well as paediatrics, obstetrics and psychiatry. It is also the state’s tertiary trauma centre. The Emergency Department (ED) The ED provides a tertiary level service for people with illness or injury 24 hours a day 7 days per week. Our busy ED provides care for >75,000 patients annually with an admission rate of more than35% and a paediatric case load of 20%. The RHH Emergency Department has a co-located Emergency Medical Unit (EMU) which is a short stay ward for patients requiring a brief hospital stay (generally less than 24 hours). The EMU has 24 short-stay beds operating 24 hours a day, 7 days a week with a high turnover ward environment and a variety of clinical presentations. The Role Provide high-level administrative and secretarial support to the Director, Nurse Unit Manager (NUM), and Clinical Nurse Consultant (CNC) of the Emergency Department (ED), including the preparation of confidential documents, correspondence, briefings, reports, and meeting minutes. Coordinate appointments, meetings, and travel arrangements, and maintain electronic diaries. Manage and maintain efficient administrative systems to support the daily operations of the ED. This includes supporting the development and review of administrative practices, contributing to project activities, and participating in quality improvement and safety initiatives. Oversee and support a range of human resource functions, including recruitment processes (e.g. PageUp), timesheet management, unplanned leave, annual leave, and professional development requests. Liaise effectively with internal stakeholders such as payroll, and external parties as required. Maintain and reconcile electronic leave bookings and payroll reports for medical, nursing, and ancillary staff, ensuring accuracy, completeness, and timely action. Coordinate and manage nursing and ancillary staff rosters, including the creation, editing, and updating of rosters. Identify staffing shortfalls, initiate appropriate relief arrangements, and ensure rostering systems (e.g. ProAct) are accurately maintained. Assist the Business Support Officer in reviewing and evaluating administrative practices and standards, and in decision making regarding project activity matters. Support the development and maintenance of information management systems and databases to enhance departmental efficiency and reporting capabilities. Represent Ancillary Services at management, inter/intra-hospital meetings, and on relevant committees, providing updates, reports, and insights as required. Undertake critical review and follow-up of documents and information to ensure relevance and accuracy, and facilitate effective communication across the department. Perform other duties as directed, consistent with the scope, qualifications, and experience expected at this classification level. You will need Demonstrated knowledge of and experience in contemporary office management practices, including well developed computer skills and experience with a range of computer programs. Highly developed interpersonal and written communication skills, including the ability to undertake duties in a professional manner with an ability to negotiate and liaise and maintain relationships with internal and external stakeholders. Experience with computer systems in a health care environment. Proven understanding of the dynamics of a multidisciplinary team operating in an Emergency Department or hospital-based environment, or the ability to quickly acquire same. Details of appointment Please note as a successful applicant you will work the following positions: Administrative Assistant - Emergency Department )- Fixed term, part time, shift worker position, working 16 hours per fortnight, commencing as soon as possible until 3 March 2026. Working every alternate weekend is essential for this position. Executive Assistant )-Fixed term, part time, day worker position,working 15.2hours per fortnight, commencing as soon as possible until 3 March 2026. *notwithstanding hours to be negotiated with the successful applicant. Salary General Stream Band 3 $73,811 to $79,779 per annum (Pro rata). Our Employer 12% superannuation contribution is on top of this amount.
