Office Manager / Diary Manager (Parental Leave Cover) POSITION DESCRIPTION — Office Manager / Diary Manager (Parental Leave Cover) Position Title: Office Manager / Diary Manager Employment Type : Full‑time, Parental Leave Replacement Location: Electorate Office (Melbourne) with travel to Canberra as required Role Summary The Office Manager / Diary Manager is a senior member of Senator Michelle Ananda‑Rajah’s Electorate Office. The role provides high‑level coordination of the Senator’s diary, travel and workflow, while overseeing the smooth, efficient and professional functioning of the office. This is a dynamic, fast‑paced role requiring exceptional organisational ability, sound judgement, discretion and the capacity to balance competing priorities. The successful candidate will ensure the Senator is well‑prepared, staff are supported and the office environment runs to a high standard. Key Responsibilities Diary & Scheduling (Primary Focus) Manage the Senator’s complex and rapidly changing diary across parliamentary, electorate, media and stakeholder commitments. Assess, prioritise and negotiate meeting requests aligned with strategic priorities. Coordinate all domestic travel and accommodation arrangements, including Canberra sitting weeks. Prepare itineraries for regional travel. Office Management Oversee office operations, ensuring a professional and welcoming workplace. Manage the office budget, monitor expenditure and maintain financial records in line with parliamentary entitlements and requirements. Support staffing administration, including onboarding, induction, rostering and allocation of duties. Liaise with the Department of Finance, contractors, suppliers and building services as needed. Manage office assets, IT issues and maintenance requirements. Uphold WHS compliance and internal office procedures. Collaborate with Senior Advisers to coordinate workflow across the office. Support team cohesion, ensuring tasks are appropriately delegated and followed up. Maintain positive working relationships with constituents, community organisations, government agencies and parliamentary staff. Other Duties as Required Assist with events, community activities and electorate engagements. Provide administrative support to the Senator and staff. Maintain confidentiality, professionalism and impartiality at all times. Key Selection Criteria Demonstrated experience in complex scheduling, office management or executive support roles. Excellent organisational skills and proven ability to manage competing priorities. Strong communication skills and professional judgement when interacting with diverse stakeholders. High level of discretion, reliability and ability to work in a politically sensitive environment. Practical financial management skills, including budget oversight and record‑keeping. Ability to work independently and as part of a small, fast‑paced team. Proficiency with digital tools (Outlook, Teams, SharePoint, electorate systems or similar). Experience in a parliamentary, political, community or government setting. Understanding of the Australian political environment, policy issues and electorate engagement. Experience coordinating travel and high‑level logistics. Salary & Conditions The position is offered under the Members of Parliament (Staff) Act 1984, at the Electorate Officer B (EOB) classification, with additional allowances applicable.
