About Us : We are a dental practice located in the Shellharbour area on the south coast. We have two chairs running at our practice and the owner of the practice has been here for just over three years. About You : High school diploma Graduating from dental assistant school is preferred Additional certification or training is an asset Hand Hygiene Australia Certificate Position Summary : The Dental Receptionist & Assistant is a pivotal role that combines administrative responsibilities with direct patient care to ensure a seamless and positive experience for patients. This position requires exceptional communication skills, attention to detail, and a compassionate approach to patient interactions. Key Requirements : Previous Experience: Minimum of 1-2 years in a dental assistant role preferred; entry-level candidates may be considered if they have relevant internships or externships. Radiography Experience: Familiarity with dental radiography procedures and safety protocols is preferred. Customer Service: Experience in a healthcare or service-oriented environment, demonstrating strong patient interaction and support. Skills : Clinical Skills : Proficient in taking and developing dental X-rays. Ability to assist with various dental procedures (e.g., fillings, extractions, cleanings). Knowledge of dental instruments and sterilisation techniques. Administrative Skills : Strong organisational skills for managing patient records and appointment scheduling. Familiarity with dental practice management software and insurance processing. Communication Skills : Excellent verbal and written communication skills for effective patient education and team collaboration. Ability to explain dental procedures and care instructions clearly. Technical Skills : Competence in using dental tools and technology, including digital X-ray systems and other diagnostic equipment. Basic computer skills for record-keeping and scheduling. Job Responsibility : Patient Interaction : Greet patients warmly upon arrival, fostering a friendly and professional atmosphere. Assist patients in completing necessary forms, ensuring all documentation is accurate and up to date. Respond promptly to patient inquiries via phone, email, or in-person, providing information about services, treatment options, and office policies. Check-In and Check-Out : Manage the patient check-in process, verifying insurance details and updating personal information in the system. Conduct the check-out process, ensuring patients understand their treatment and any follow-up appointments required. Appointment Scheduling : Schedule and coordinate appointments for new and returning patients, considering treatment time and patient preferences. Send appointment reminders via phone, email, or text to reduce no-show rates. Patient Preparation and Comfort : Prepare patients for examinations by explaining procedures and ensuring their comfort. Monitor patients' vital signs and overall comfort throughout treatments, offering reassurance and support as needed. Treatment Room Management : Set up and sanitise treatment rooms before patient appointments, ensuring all necessary instruments and materials are ready. Clean and disinfect treatment areas after procedures, following strict infection control protocols. Radiographs and Laboratory Tasks : Take and develop dental X-rays, adhering to safety and radiation protection standards. Assist with basic laboratory tasks, including making impressions for dental appliances under the dentist’s supervision. Patient Education : Educate patients on proper oral hygiene techniques and provide post-treatment care instructions. Address any patient concerns regarding their treatment plans. Billing and Insurance Processing : Prepare and process billing statements for services rendered and assist with insurance claims. Verify insurance coverage and assist patients with financial arrangements and inquiries. Patient Records Management : Maintain accurate and organised patient records, ensuring confidentiality and compliance with regulations. Document patient information, treatment plans, and progress notes in electronic health records (EHR) systems. Team Collaboration and Support : Communicate effectively with dentists, hygienists, and dental assistants to coordinate patient care and treatment schedules. Actively participate in regular team meetings and ongoing training to stay updated on best practices. Inventory Management : Assist in managing inventory for office and dental supplies, placing orders as needed and tracking stock levels. Reception Area Maintenance : Keep the reception area organised, clean, and welcoming, ensuring that informational materials are readily available.
