About the role The Event Setup Coordinator is an integral role in the service delivery before, during and after all events, to achieve the highest level of service. Coordinate the setup of events in accordance with event orders, amendments, and floors plans. Lead and coordinate the Setups team and lend support to the Setups manager in delivering excellence and consistency. Continuously review the setup operations for improving efficiencies. Identifying operations issues and raising it through with relevant parties. What you’re here to do Develop and maintain collaborative relationship with internal stakeholders of various departments of the MCEC to drive department and organisation-wide operational excellence. Ensuring all team members are fully briefed and understand expectations of their roles. Provide strong leadership and mentoring Ensure competency and training standards are adhered to and practiced Monitor rosters for staff ensuring the effective and efficient deployment of staffresources. Encouraging positive and effective communications with all staff in the department. Provide strong leadership and mentoring of the Team Leaders and staff Coordinating regular meetings with the team to address challenges and improvements and share business and department updates. Monitor the usage of equipment and the inventory levels. Ensure all exhibitions and event spaces are set up to specification to the satisfaction of the client and at the prescribed time Liaise with clients and other departments within the MCEC to obtain all relevant information pertaining to events and their requirements. Prior to the introduction/ implementation of any departmental activity, ensure Risk Assessments are completed, hazards are identified, and appropriate control measures and work instructions are developed and implemented as far as reasonably practicable Ensure that all labour usage is effective and efficient, cross utilising employees between events to achieve strong month end results Managing weekly staffing confirmations through MCEC HIRS system Ensure that policies and procedures of the Department are developed and followed, including the maintenance of safe standards and practices and compliance with The Victorian Commission for Gambling and Liquor Regulation, and Safety AS/NZ 4801 What you will need Responsible Service of Alcohol (RSA) Ability to implement and monitor policy and procedures that focus the team on meeting or exceeding client expectations Proficient in MS Office product suite. Previous experience and operational knowledge in a large venue of 500 or more is required. Supervisory experience and proven record in leading a team. Ability to discuss and resolve problems of a technical and operational nature Ability to communicate and lead effectively at all levels, including the ability to gain co‑operation and assistance from other employees Ability to motivate and develop employees Impeccable levels of attention to detail in both front-of-house and back of house areas Excellent organisational skills with the ability to prioritise workloads and achieve objectives within tight time frames and within budgetary limits First Aid Training –Cert 1 Certificate in Safety Management Our culture We’re a values-driven team, and success comes from working and celebrating together.
