Swan Towing is a Western Australian family owned and operated Towing & Transport Company based in Midvale. Established in 1987 we are highly regarded as the No.1 Towing company in WA and we are consistently expanding. We provide Towing, Recovery and Transport solutions for various industries such as Transport, Mining, Civil, Government, Transport, Defence, and Insurance as well as the private sector throughout WA. With Depots based in Midvale, Bunbury, Port Hedland, and Kalgoorlie. Our services include towing for vehicles of all makes and models including, cars, trucks, trailers etc as well as transport of plant and equipment all over WA. The Role Based in Midvale, we are seeking an experienced Workshop Admin / WAHVA assistant to work closely with the directors, Safety & Compliance Manager and Workshop team to ensure compliance across all aspects of our Main Roads Heavy Vehicle Accreditation. The role is very diverse and would suit someone who is looking for not your average admin role. High attention to detail is a must as well as flexibility with providing support to the admin team as a whole. This is a part time role, approximately 3 days a week. Hours can vary to suit the right candidate. The role will include but not be limited to: Workshop Admin / WAHVA Maintaining servicing records, including updating odometer readings on spreadsheet and reporting to the workshop supervisor when services are due Logging fault reports and following up until closed out. Manage renewal of MRWA permits for trucks as required including new assets. Liaise with management to order fuel cards for new assets or replacements as required. Reconcile incoming invoices with purchase orders, apply appropriate coding and entering into AP Software logging to correct asset. Maintaining asset files and logging into appropriate asset spreadsheet. Including set-up of new assets. E-filing bills into appropriate asset folders. Updating and maintaining asset register. Following up on outstanding Pos. Assist with preparation for both internal (bi-annual) and external (annual) audits. Uploading vehicle registration papers to appropriate asset E-Folder as required. Fatigue Management Check fatigue sheets for accuracy and log weekly Monthly audits of fatigue sheet tracking Rectifying discrepancies in consultation with Compliance Manager Issuing and filing of fatigue books as required Maintaining fatigue book levels and ordering as required. Other Adhoc admin tasks as required by office manager or other staff. About you - To be successful for the position the following skills are essential: Must have a minimum of 3 years previous WAHVA Admin Experience. Ability to work unsupervised and maintain motivation. Must be able to communicate with a diverse range of employees including drivers, workshop, and admin staff. Ability to maintain confidentiality and handle sensitive situations with discretion. High level of computer skills including Microsoft Office, especially Excel. Willingness to support to the Admin team as a whole during peak times or during periods of Annual or Personal leave.
