Client Experience & Administration Coordinator We are seeking a highly organised, patient/client focused Client Experience & Administration Coordinator to join our busy aesthetic medical clinics (Joondalup & West Perth). This role is ideal for someone who is enthusiastic, enjoys a fast-paced environment, is passionate about aesthetics and is comfortable 'wearing many hats'. You will support both front and back of house operations to ensure exceptional client experience as well as smooth clinic flow. Key Responsibilities Warmly greet all clients to provide a professional, welcoming clinic impression Answer phones, emails, online inquiries (across various platforms) promptly & professionally Guide patients/clients through pre‑post treatment information whilst assisting with consent forms Prepare treatment rooms for clinicians and ensure smooth client flow throughout the day Maintain accurate patient records, update booking system and ensure compliance with privacy standards Process client payments, issue receipts and manage daily cashing‑ups Oversee inventory management including stocking, ordering, monitoring compliance and liaising with suppliers Assist with daily clinical organisation, cleanliness & presentation Support clinicians by preparing clients, charts, taking client photos, organising files and coordinating treatment scheduling Assist with social media content (photos/videos when appropriate & approved) for posting basic updates Creating and sending out promotional emails, letters or reminders as needed Support events as needed including client focused events or educational workshops Promote skincare products & assist with retail sales Follow clinic protocols for infection control, sterilisation and room turnover Ensure treatment rooms are fully stocked & equipment is routinely cleaned and checked Support documentation for regulatory compliance and audits Key Skills Strong communication and customer skills, with a calm and polished manner Highly organised with excellent attention to detail Ability to multitask and prioritise in a busy clinic environment Tech savvy and comfortable with booking systems, Microsoft Office Suite and digital communications Professional presentation and genuine interest in cosmetic treatment and skincare Experience Previous experience in cosmetic, spa, beauty clinic or medical reception is highly valued Experience in customer facing role, retail or administration is beneficial Training in skincare, beauty therapy or aesthetic is advantageous (but not essential) What we offer A supportive, team focused clinic environment Opportunity to learn about cosmetic treatments, skincare and aesthetics procedures #J-18808-Ljbffr
