Westcourt Family Business Accountants – Northbridge NSW Reports to: Client Services Administrator, Office Manager, Directors Performance Review Period: 12 Months Position Summary: Providing outstanding customer service, the Client Services Officer is the face of the business. Key responsibilities include the provision of quality and timely administration and support services. You will provide a wide range of administrative duties and other related functions in the office to provide support to staff and management on a daily basis. Key Tasks and Responsibilities Reception Answer and respond to all incoming phone calls including taking messages for team members. Greet and look after all visitors and clients who come into the reception area, including providing refreshments. Respond to incoming client emails and ensure correspondence is forwarded to the relevant Relationship Manager. Arrange and set up boardroom for meetings/seminars. Process all incoming mail and parcels as well as arrange outgoing mail and deliveries. Accounting Prepare and send tax packages to clients for signing as required. Issue client invoices through Ignition Program as required. Scanning and electronic profiling of client documents. Produce and send Ethical Clearance Letters for new clients. Communicate and arrange documentation for departing clients. Process and distribute Notices of Assessment to clients. Printing and binding of client documents. Arranging client documents for pickup. Management of permanent document filing systems. Generate and send monthly schedule reports to team to assist with workflow management. Administration Organising catering for events as required. Order and maintain kitchen supplies for the office. Liaise and maintain Office Supplies for the team. Assist with the organisation and implementation of office events. Booking meetings for directors as required. Contacting clients to confirm personal and tax details.
