ROLE DESCRIPTION The Client Services Administrator plays a pivotal role in managing client relationships and ensuring seamless service delivery. This position requires someone who can coordinate multiple workstreams, anticipate client needs, and maintain the highest standards of service. You'll be the backbone of the client operations, ensuring every interaction reflects our commitment to excellence. KEY RESPONSIBILITIES Serving as the primary point of contact for client inquiries via phone, email, and occasional in-person meetings, ensuring a professional and welcoming experience. Coordinating all aspects of client service delivery, from initial engagement through to project completion and ongoing relationship management. Managing client expectations by proactively communicating timelines, deliverables, and any changes to engagement scope. Maintaining accurate and up-to-date client records and documentation in our CRM and management systems. Supporting the advisory team with administrative tasks related to client engagements and deliverables, ASIC/ATO updates. Assisting in the onboarding of new clients, including documentation, system setup, and orientation, setup of new entities. Coordinating internal reporting processes and preparing client-facing communications and updates. Preparing weekly status reports and tracking key service delivery metrics. Occasionally attend trade shows and events in Sydney / interstate. In future, serve as onsite receptionist for a coworking space in Gosford. KEY CAPABILITIES Exceptional communication skills with the ability to build rapport with diverse stakeholders. Warm, professional demeanor that puts clients at ease and reflects the company's values. Strong organisational skills with the ability to manage multiple priorities and meet deadlines. Problem‑solving mindset with the ability to think creatively and adapt to changing situations. Proficient with technology platforms including CRM systems, Microsoft Office Suite (Word, Excel, PowerPoint), and cloud‑based collaboration tools. QUALIFICATIONS 1+ years experience in a client‑facing role within professional services (accounting, consulting, or advisory) is essential. Experience with XPM/Xero, corporate secretarial work with ASIC/ATO is required. Proficient with CRM systems, Microsoft Office Suite (Word, Excel, PowerPoint), and cloud‑based collaboration tools.
