This position plays a critical role in supporting the operational accuracy of our dealership, ensuring all vehicles are correctly documented, registered, and managed across internal systems and state regulatory bodies. Responsibilities include intake, control, movement, and reporting of vehicle stock while ensuring all registrations and compliance obligations are met under VicRoads and Service NSW regulations. Key Responsibilities Stock Control & Vehicle Management Process and manage intake of all new, used, and wholesale vehicles Oversee internal stock transfers and ensure accurate system updates Conduct monthly stock audits , reconciling physical stock with system records Maintain stock protection processes, including demonstrator allocation and paperwork Order vehicles from manufacturers and process retail reporting for new vehicles Post photos and vehicle comments online daily to support sales activity Registration, Compliance & Documentation (Main Role) Register all new, demo, and pre-owned vehicles in accordance with: VicRoads registration requirements Service NSW registration and transfer standards (for interstate sales) Complete all necessary documents for vehicle compliance, RCTIs, dealer delivery, and ownership transfers Review and lodge roadworthy certificates, safety inspection reports, and proof-of-identity requirements Ensure trade‑ins and wholesale vehicles are processed within regulatory timelines Maintain accurate registration records, fees, renewals, and audit files Liaise with VicRoads, Service NSW, and related regulatory bodies to resolve compliance matters Administration & Support General administrative duties to support operational workflow Assist sales and service departments with vehicle file accuracy and regulatory compliance Ensure vehicle paperwork meets audit standards and dealership policy What We’re Looking For Previous experience in vehicle stock control or registration is highly regarded Strong understanding of VicRoads and/or Service NSW compliance requirements Ability to work independently with strong attention to detail Excellent time management and organisational skills A positive, enthusiastic, team‑focused attitude Intermediate computer skills and the ability to learn new systems quickly Knowledge of dealership DMS systems (e.g., Pentana, AutoIT) highly regarded Strong administration and documentation skills Current driver’s licence – Essential Benefits A modern dealership equipped with the latest technology Excellent Staff Recognition Program A group that continues to grow and expand in the Automotive industry A supportive team environment with ongoing guidance and feedback to help you succeed Join Our Team If you are passionate about the automotive industry and thrive in a fast‑paced environment, we would love to hear from you.
