Role Overview We are seeking a friendly and organized Medical Receptionist to join our growing healthcare team at Ballarat Doctors. In this role, you will work at the front desk of our medical clinic and assist our patients and other visitors. Your primary job duties will include greeting and checking in patients, answering questions, collecting patient co‑pays, processing paperwork, and scheduling appointments. You will also help keep our records and work areas clean and organized, as well as ensure our office provides a welcoming environment for our patients. Key Responsibilities Open and close clinic as per set procedure Greet patients and other callers in a professional and courteous manner Make appointments for patients Ensure medical records are managed confidentially and efficiently Accurately process patient payments via cash, Eftpos, and direct bill transaction Maintain knowledge of the MBS schedule and correct billing procedures Deal with referring doctors, hospital staff, pharmacists etc. courteously and helpfully Attend to patient enquiries Check and handle internal emails Fill in the roster when staff is away, on holidays and sick leave Maintain the reception waiting area and consulting rooms tidy, including cleaning up spills if necessary Ensure the accurate storage and retrieval of patient and practice records with appropriate scanning, faxing and filing of all documents At all times maintain confidentiality of patient personal and financial information Support the day‑to‑day operations of the medical centre Deliver exceptional customer service and teamwork skills Selection Criteria Demonstrated ability to work in a team Experience with medical software (BEST PRACTICE / MEDICAL DIRECTOR) Strong organisational and problem‑solving skills Ability to work in a fast‑paced environment, including multitasking Clear communication with internal and external stakeholders verbally and in writing Commitment to quality patient service At least one year experience as a Medical Receptionist in a medical practice required Additional Requirements Current Working with Children clearance Driving Licence / Photo ID If this role speaks to your heart, we cannot wait to meet you.
