The Role This is a new kind of Business Operations role – one that blends traditional operational excellence with AI-driven leverage. As our AI-Powered Business Operations Lead , you’ll work across Sales, Marketing, Product, Customer Success, Operations, and Finance to turn data into decisions, systems, and automation. This isn’t a research or engineering role. You\'ll be the connective tissue between what AI can do and what teams need to do. You’ll spot inefficiencies, design smarter workflows, and drive adoption across the business. You’ll shape how BuildPass uses AI day-to-day – defining standards, sharing best practices, and making every team more productive. You’ll report to the Head of Operations, working closely with Functional Leads and the CTO. You\'ll learn fast, shape your own career, and be rewarded for using AI to drive smarter ways of growing our business. What You\'ll Do Process Design & Optimisation: Audit workflows, identify inefficiencies, and redesign for speed and clarity. Create templates, automations, and SOPs in Notion, HubSpot, and AirTable to make teams self-sufficient. Use low-code and AI automation tools (Zapier, Make, OpenAI API) to remove repetitive tasks across functions. AI Enablement: Partner with functional leads to identify high-impact AI use cases (from customer research to proposal generation). Build and maintain prompt libraries, internal copilots, and mini-agents. Run AI training sessions to raise company-wide fluency. Operational Intelligence: Build and maintain dashboards tracking GTM performance, retention, CAC payback, and cost-to-serve. Speed up data cleaning, analysis, and visualisation to turn noise into clear insights for leadership. Strategic Projects: Support leadership on cross-functional initiatives (pricing experiments, geographic expansion, new product launches). Collaborate with our global team across Australia, North America, and the Philippines. Some calls may be outside standard hours; we flex up when needed and flex down in return. What You\'ll Learn This role sits at the intersection of AI, operations, and scale-up execution. You’ll gain cross-functional mastery, AI in action, systems thinking, startup 0→1 experience, and leadership exposure by collaborating with senior leaders on projects that shape the business. What You\'ll Bring To The Team 3+ years of experience solving cross-functional problems in operations, strategy, consulting, or fast-moving startups Proven track record of turning ideas into scalable systems that improve efficiency and outcomes Strong analytical and problem-solving skills with data-driven decision-making Comfortable with low-code/no-code tools (Zapier, Notion, Airtable, Make, Retool) and eager to experiment with new ones Confident using or learning AI tools (e.g., ChatGPT, Claude) to automate tasks, summarise data, and improve workflows Experience designing or implementing internal AI workflows, building lightweight automations, or managing AI-related projects Excellent written and verbal communication skills; ability to translate technical ideas into clear, actionable, non-technical language Highly organised and proactive, able to manage multiple priorities and follow through independently Bonus: Exposure to LLMs, prompt engineering, RAG, or agent-based systems; interest in applying them to real business problems Bonus: Exposure to construction, SaaS, or startup environments and an understanding of how AI can drive real-world business impact Why BuildPass Construction is transforming – and BuildPass is leading that change.
