Back to Nature Ecotherapy is a developing National Disability Insurance Scheme provider supporting participants with complex psychosocial disability and trauma. THE ROLE As our Practice Manager, you’ll take ownership of the full operational function from day one.At our current size, the scope of responsibilities is highly manageable — and as we grow, the scale and depth of these functions will grow with us. You’ll be the steady operational foundation that supports our practitioners, clients, and overall practice performance. Your work enables us to deliver safe, high‑quality services and scale sustainably. WHAT YOU’LL OWN Financial Operations Invoicing, payroll coordination, expense management Bank reconciliations and financial reporting BAS compliance (with external support where required) Client Experience Client onboarding coordination Client file and documentation management Supporting quality, safety, and consistent client experience Team Experience & HR Administration Leave management and HR administration duties Systems access, permissions, and team support Operational Reporting Tracking productivity, capacity, and performance metrics Preparing practice‑level reporting for leadership Supporting planning and resource allocation Systems & Process Management Developing and improving policies and procedures Creating simple, effective processes that improve practice flow Compliance & Risk Assisting with NDIS compliance requirements Managing insurance, documentation and renewals Supporting audit preparation and risk management processes WHAT YOU BRING We don’t expect you to meet every criterion — if you align with our purpose and bring strong operational capability, we’d love to hear from you. Experience in operations and administration (NDIS, allied health, or human services ideal - other sectors considered) Strong financial administration capability (invoicing, payroll, reconciliations, reporting) Working knowledge of NDIS frameworks, pricing, compliance, or willingness to learn quickly Understanding of employment compliance frameworks (SCHADS or Health Professionals Award) Confidence with practice systems (Xero, Google Workspace, Zanda, NDIS Provider Portal) Strong organisation and follow‑through High attention to detail and integrity of work Systems thinking - ability to streamline processes and see how things connect Clear and warm communication skills A natural desire to create excellent experiences for clients and team members A personal connection to nature and alignment with our values: compassion, authenticity, wisdom, and balance We value relevant experience in operations and administration, including roles such as Office Manager, Admin Manager, Practice Administrator, Operations Coordinator, Practice or Service Coordinator, Team or Program Coordinator, NDIS Support Coordinator, or NDIS Plan Manager.
