Production Travel Coordinator Location: Southeast Queensland (Hybrid – Office Attendance 1–2 Days per Week) Contract: Full-Time (3-Month Trial Period) Salary: Starting from $65,000 AUD per annum Reports to: Producers & Tour Management Start Date: December 2025 Application Deadline: December 2025 Contact: About the Role Pace Live is seeking a highly organised and proactive Travel Coordinator to manage and oversee the logistical operations behind our touring productions across Australia, New Zealand, the UK, and the United States. This is a dynamic, administration-focused position that sits at the heart of our international touring operations. Working closely with Producers, Tour Managers, and Production teams, the Travel Coordinator ensures all travel, accommodation, and logistical elements are executed smoothly across multiple time zones. While this is not an on-the-road touring role, it requires a deep understanding of the touring and production landscape — from rooming lists and cast logistics to the complexities of moving people and equipment around the world. The ideal candidate thrives in a fast-paced environment, communicates clearly under pressure, and brings a strong sense of initiative, foresight, and problem-solving. Key Responsibilities Travel & Logistics Plan and book travel, accommodation, and ground transport for touring personnel across multiple territories. Create and maintain detailed rooming lists, flight manifests, and transport schedules. Coordinate freight, merchandise, and production shipments between countries and venues. Manage visas, work permits, and border requirements for cast and crew across Australia, NZ, the UK, and the U.S. Maintain all travel data and itineraries within Master Tour or equivalent touring management systems. Liaise with travel agents, hotels, and venue partners to ensure cost-effective and efficient arrangements. Anticipate and resolve travel-related challenges such as delays, cancellations, and rerouting. Administration & Coordination Serve as the primary point of contact for all travel and logistics inquiries from cast, crew, and management. Ensure timely distribution of travel documents, itineraries, and updates to touring personnel. Assist with crew and cast contracts, onboarding, and HR administration in conjunction with Producers and Tour Managers. Maintain accurate records of expenses, invoices, and cash flow tracking for travel budgets. Coordinate insurance documentation, Certificates of Insurance (COIs), and relevant compliance paperwork. Support the producers in forward-planning and budgeting cycles across tours and territories. Communication & Support Act as liaison between production, management, and touring personnel for all logistical coordination. Provide proactive updates to teams in different time zones (US/UK/AU/NZ) to ensure seamless communication. Monitor the wellbeing and travel experience of touring personnel and provide assistance as required. Uphold Pace Live’s high standards of professionalism and care in all communications. Requirements Minimum 3+ years’ experience in travel coordination, production administration, or touring logistics (preferably in performing arts, live events, or entertainment). Strong understanding of international touring structures, schedules, and production workflows. Exceptional attention to detail and organisational skills. Excellent written and verbal communication across diverse teams and time zones. High level of competency using Google Workspace, Excel, and online booking systems. Proven ability to balance priorities, budgets, and deadlines under pressure. Problem-solving mindset with flexibility to adapt as touring plans evolve. An understanding of artist and crew welfare in a touring context. Work Conditions Based in Southeast Queensland, with 1–2 days per week in-office. Flexible working hours are essential, as tours operate across multiple global time zones. Some evening or weekend availability may be required to resolve international travel issues. Candidates must have access to a home office setup with strong Wi‑Fi and communication tools.
