THE ROLE Located in the rolling hills of the Dandenong Ranges (1 hour from Melbourne CBD), this is a exciting hands‑on and dynamic administrative role for an enthusiastic and can‑do person Reporting to the General Manager, this role is integral to our wholesale production nursery administration department, offering support with a high level of accuracy and attention to detail. A variety of tasks that can be seasonal with priorities changing day‑to‑day, so the ability to be flexible and understand how to prioritise your workload, is key to the success as is being a great team member and support person to your senior staff. This role will support the sales team in various ways including purchase orders, invoicing, back up reception, data input, and other related sales administration duties. RESPONSIBILITIES AND DUTIES Timely and accurate response to customer enquiries concerning products and service Raising purchase orders, invoicing and associated admin duties Liaise with logistics department regarding deliveries etc Sales administration and customer service support to Sales Manager(s) Maintain customer satisfaction and high service levels generally Stock control data input as required Protect and maintain the brand through the provision of excellent customer service. Liaise, assist and facilitate the timely performance of colleagues in carrying out their roles and responsibilities Pass on information and feedback from customers, consumers and end‑users to management and marketing Participate in company meetings and contribute to agendas and generally keep colleagues informed about sales strategies, price policies and specific trading terms etc Answer phone calls and direct to appropriate department. Take messages where necessary. Process payments and direct customers to appropriate locations for pickups. Create credits for stock returned to nursery or damaged stock. Process orders and coordinate deliveries/pickups of product. Take photos and specifications of stock as requested by customers. Communicate with despatch and production crews on stock availability and quality. Key Criteria Outstanding telephone manner with focus on customer care Outstanding professional presentation Excellent computer skills – Microsoft Office Suite and ability to pick up new systems quicky and efficiently Efficient use of time Ability to prioritise tasks Listening skills and the ability to identify the needs of business partners Well‑organized with strong administrative and time management skills Can‑do attitude and willingness to support team members in any way possible THE COMPANY The Fleming’s Group of Companies includes Fleming’s Nurseries, Fleming’s Landscapes P/L, Fleming’s Nurseries Queensland P/L and Flow Design Studio.
