Assistant Manager - Adge Hotel & Residences The primary responsibility of the Assistant Manager is to manage and supervise the front office operations and reception team on a day-to-day basis which includes all Guest Relations Officers (“GRO”) in the absence of the Front Office Manager. The Assistant Manager is also responsible for liaising with all other Departments to ensure the smooth running of hotel operations. In this role, the Assistant Manager is responsible for ensuring that all GRO’s carry out the duties and responsibilities of their role including, but not limited to, meeting and greeting guests, checking guests in / out of the Hotel, guest registration, providing information and advice to guests, answering the telephone and all administration tasks associated with the Front Office operation. The Assistant Manager is also responsible for providing assistance and support with the checking in / out procedure, guest registration and room allocation for all guests as well as the management of all guest complaints as required. The Assistant Manager is responsible for representing the Hotel Manager and acting as the primary point of contact for all team members and guests in the Hotel Manager’s absence, including after hours. What your day will look like : Responsibilities Directly supervise all front office personnel and ensure proper completion of all front office duties. Direct and coordinate the activities of the front desk, reservations, guest services, and telephone. Organise duty rosters, ensuring that there are sufficient staff to cover all duties, particularly during peak period business and to arrange a stand‑by in case of illness or absenteeism Assist Front Office Team with duties as required. Be available during check in periods to deal with any problems or complaints Ensure that reception staff are dressed in the correct uniform and that their appearance enhances the image of the hotel Ensure every guest experiences a consistently high standard of service and hospitality from arrival through to departure Ensure that all registration formalities are correctly completed, paying particular attention to city ledgers and credit limits Liaise with reservations and pre‑allocate rooms, being aware of any special requests, regular and VIP guests Ensure co‑operation and helpfulness between all departments within the hotel Liaise closely with the housekeeping department on check‑outs and room moves, etc Arrange alternative suitable accommodation for a confirmed or regular guest, if the hotel is fully occupied Be aware of maximum room occupancy in line with agreed hotel policy Hold regular performance appraisals with all reception staff, identifying areas for development and training needs Carry out regular on‑the‑job training with all reception staff to ensure that duties are performed correctly and to company standards and that the training needs identified in the performance appraisals are actioned. Report any faults or defects to the maintenance department Be security conscious at all times and ensure that effective procedures are in operation are in place. Review and complete credit limit report. Be the primary point of contact in any emergency, acting as the designated Emergency Warden during incidents such as a potential fire or evacuation. This includes coordinating the safe and orderly evacuation of all guests and staff, ensuring designated assembly areas are used, and maintaining communication with emergency services. What we'd like to see : Relevant Associate Degree, Advanced Diploma or Diploma or equivalent three‑years industry experience Minimum of at least one year of hotel front‑desk supervisory experience, experience handling cash, accounting procedures, and general administrative tasks. Experience in handling cash, counting and issuing floats and operating a Front Office phone system is essential General administrative experience, and using Microsoft Office programs and, the use of OPERA cloud is essential.
