Accounts, Admin & Operations Manager (Bookkeeping | HR | Project Reporting) + EA to Director Software Co is a fast-growing software development, digital ventures, and AI product company. We are seeking a highly capable Office Administration, Accounts & Operations Manager to lead our financial administration, HR coordination, and day-to-day office operations. This is a hands‑on role requiring a strong commitment to accuracy, structure, and operational excellence, with additional responsibilities spanning HR administration, office management, and executive support. Accounts, Bookkeeping & Project Accounting (Primary Focus – 30%) Full responsibility for day‑to‑day bookkeeping in Xero : AP / AR, invoice management, expenses, bank reconciliations, petty cash, and monthly closing support. Project accounting : tracking budgets vs. actuals, monitoring hours / cost allocations, and maintaining clean financial records across multiple projects. Coordination of timesheet / time‑tracking compliance and preparation of payroll inputs. Collate financial documentation for accountants (ATO, BAS, tax support). Assist with internal financial systems, process improvements, and ensure audit‑ready books at all times. Nice-to-have: payroll preparation experience, ATO / BAS support & understanding of Fair Work obligations. Project Reporting / PMO Support (˜20%) Prepare weekly project portfolio reports: budgets, run rates, variances, milestones, risks, and corrective actions. Consolidate data from Jira, Asana, TimeDoctor, Sheets, and internal tools into concise dashboards . Support project managers with stand‑up scheduling, minutes, action tracking, and documentation quality. People & HR Admin (˜25%) Provide full‑lifecycle HR support across the organisation, including recruitment, interviews, contract preparation and negotiation, onboarding, day‑to‑day employee management, and exit processes. Responsibilities include: End‑to‑end recruitment support: drafting job ads, sourcing candidates, scheduling and coordinating interviews, conducting reference checks, and preparing employment contracts. Comprehensive onboarding and offboarding: inductions, IT access setup, equipment allocation, policy walkthroughs, and exit management. Maintain accurate HR records, leave and attendance registers, policy documents, and compliance files. Support ongoing HR operations including performance documentation, training coordination, and general employee administration. EA to Director (˜15%) Manage the Director's calendar, e‑mail and communication flow, including inbox triage, message preparation, and timely follow‑ups. Coordinate travel arrangements, meeting preparation, briefing notes, and executive reporting packs. Draft internal communications, circulate updates, and ensure clarity across stakeholders. Maintain a structured prioritisation system to keep key initiatives organised, monitored, and on track. Office & Operations (˜10%) General office administration and upkeep. Ownership of company inboxes, asset registers, subscriptions, and process documentation. Drive continuous improvement across operational workflows. Skills & Experience 3–6+ years in bookkeeping, accounts administration, operations, or office management, ideally within a fast‑paced environment. Strong proficiency in Xero , Google Workspace, spreadsheets, and basic project tracking tools. Excellent written communication and clear reporting skills. High integrity and confidentiality with financial and sensitive data.
