As an Executive Assistant you will lead the corporate administrative management and support for 2 Project Directors. You will manage the day-to-day activities, including diary management, scheduling, communications, reporting, records management, procurement, accounts/invoices, traveling & logistics, and purchasing. Assistance may also be required in client relationship management including VIPs, events, and management meetings. Responsibilities Manage the day-to-day activities of the Executive and broader team Oversee and coordinate Executive diaries, scheduling and calendar planning Make decisions on behalf of the Executive in relation to scheduling depending on current priorities Analyze, prioritize and respond to communications on behalf of the Executive, including escalating or delegating to other SLT members as appropriate Act as delegate for system including leave and expenses with support of EGM Manage the office administration support for the Business Unit or Department including Personal Assistants and Team Assistants Collaborate and develop strong relationships with Executive Assistants to ensure seamless support for all Executives, including attending Executive Assistant meetings, planning organization wide event involving the Executives and identifying opportunities for improvement in the corporate and regional offices What we are looking for Prior experience in an Executive or Senior Personal Assistant capacity supporting senior appointments Demonstrated ability to use discretion and intuition in sensitive matters Strong ability to build and develop good working relationships across multiple divisions Ability to problem solve and identify process improvements Demonstrated ability to support and lead an administration team Intermediate knowledge of data and administrative management practices Proficient computer skills and knowledge of relevant software such as Microsoft Office Suite As part of the team, you can help us transform lives.
