We are seeking an experienced Administrator to maintain AV's fleet database and provide effective, timely, high‑quality administration support for our Fleet & Equipment team. This is a full‑time, fixed‑term position (ending October 2027). While WFH/Hybrid options are available, it is essential that the successful applicant maintains a presence at Ballarat in line with our hybrid working model. About The Role Reporting to the Lead Fleet Operations, responsibilities of this position include (not limited to): Provide administrative support including generation of reports and preparation, organisation of meetings, agendas, briefing notes, business cases, venues and accommodation Establish and maintain office and administrative systems to ensure efficient storing, retrieval and dissemination of information aligning with statutory requirements and AV Policy Administer and recommend improvements to the Fleet Management Information System (FMIS) to effectively support the running of AV fleet systems Administration tasks relating to fleet‑related invoices, purchase orders, traffic infringements, pool car bookings and vehicle registration, e‑tags, fuel cards and other Develop and maintain effective relationships with all internal and external stakeholders About You To apply, candidates will have completion of a degree or relevant industry certification with subsequent relevant experience or an equivalent combination of training and relevant experience. Other requirements include (not limited to): Demonstrated, high‑level administration experience with previous experience in business writing and reporting (preferably in a large or complex organisation) Demonstrated understanding of meeting protocol, with experience in agenda preparation and minute taking Strong attention to detail with using appropriate checking processes to ensure accuracy Proficiency in Microsoft Office suite applications and demonstrated working experience in administrative systems including experience with computerised financial information systems (e.g. Oracle/Matman) Excellent interpersonal skills with the ability to work both independently and as part of a team Working at Ambulance Victoria As a valued member of AV, you will enjoy a professional working environment that recognises the importance of work/life balance.
