Sports Administrator, Toowoomba Basketball Association The Sports Administrator provides day‑to‑day operational and administrative support to Toowoomba Basketball Association (TBA), ensuring competitions, development programs, and events are delivered efficiently and to a high standard. The role supports players, volunteers, officials and clubs, helping to strengthen the Mountaineers basketball family and promote the growth of the game across the Darling Downs. Reports To: Toowoomba Basketball AssociationWorks closely with: TBA Management Committee, Community & Development Officer, Coaches, and Club Representatives. Our Association The Toowoomba Basketball Association Inc (TBA) is a community‑based sporting organisation responsible for the management, control and development of basketball in the Toowoomba region. TBA aims to conduct competitions and programmes for all members of the community, whilst creating pathways to ensure players, coaches, referees and volunteers are able to achieve their full potential. TBA is an affiliated association of Basketball Queensland Limited (BQ) and observes BQ policies and procedures, including the BQ Codes of Behaviour. TBA is governed by the Management Committee elected at the Annual General Meeting by members of the Association. Position Purpose The day‑to‑day operational and administrative support to Toowoomba Basketball Association ensures all competitions, programmes & events are delivered efficiently and professionally managed, from planning and logistics to reporting and document control. This role also involves extensive administration and stakeholder interactions to support players, volunteers, officials and clubs, strengthening the Toowoomba Basketball Community. Key Responsibilities Administration & Operations Manage player registrations, team nominations and competition scheduling through GameDay and related systems. Maintain membership, accreditation and compliance records in line with Basketball Queensland and TBA policies. Coordinate venue bookings and equipment requirements. Schedule and support the Toowoomba Basketball Referee Community in conjunction with the Referee Development Committee, including administration and approval of weekly timesheets. Prepare reports for TBA committees and the General Manager. Maintain supplier and contractor records and assist with facility access and maintenance requests. Coordinate with TBA’s uniform & merchandise supplier to ensure timely delivery of required items to participants. Handle confidential data in compliance with regulatory standards. Competition & Program Delivery Supervise & support the delivery of a range of basketball competitions and carnivals ranging from school‑based and junior weekly competitions to high‑level senior competitions, including scheduling and record keeping. Provide support during match days by monitoring adherence to codes of conduct and taking disciplinary action as needed. Liaise with coaches, referees and volunteers to ensure a positive and professional game‑day experience. Plan and oversee the delivery of specialty events and carnivals. Support the setup and breakdown of competition venues, including equipment preparation (scoreboards, basketballs, etc.). Occasionally assist with the physical delivery of introductory level basketball programmes. Finance & Reporting Process invoices, payments and receipts in accordance with TBA financial procedures. Support budget tracking for competitions, programmes and facility operations. Contribute to grant and sponsorship reporting as required. Communication & Engagement Provide responsive customer service to players, parents and club officials. Maintain TBA’s communication channels – email, social media and website – including creation and posting of content in accordance with TBA communication and branding guidelines. Promote TBA programmes and achievements to the wider community and partners. Governance & Compliance Ensure child‑safe and member‑protection practices are upheld across all programmes. Maintain awareness of Basketball Queensland and Basketball Australia policies and requirements. Support preparation of compliance documents and risk management plans. Selection Criteria Hold or ability to obtain a current Working with Children Check (or equivalent). Experience in sports or competition and community administration. Excellent organisational and communication skills with attention to detail. Participation in ongoing professional development and training. Current Open Driver’s Licence. Ability to manage multiple and varied requests in a demanding and dynamic environment. Competence with Microsoft Office, Basketball Connect, Canva and online database systems. Availability for evening or weekend work during competitions or events. Ability to accomplish objectives effectively within given time frames. Experience with volunteer‑based associations or basketball operations. Current First Aid and Working with Children Check (Blue Card). Maintain confidentiality. Desirable Qualifications in sport management, business or related field. Key Performance Indicators Yearly staff performance reviews presented to the board. Delivery of prescribed quantity of one‑off carnival‑style competitions annually. Delivery of year‑round Junior & Senior competitions in accordance with the Toowoomba Basketball Domestic Competition Calendar. Adherence to Toowoomba Basketball media schedule. Maintain strong lines of communication to and from the Board across all channels and other directives as required. Employment Conditions Full‑time position, 38 hours per week.
