The Role We’re seeking a proactive Mechanical Services Estimator & Contract Administrator who brings both technical estimating expertise and sales confidence to help win and deliver projects. This dual role suits someone who excels in pricing mechanical services projects, negotiating with suppliers, securing competitive procurement packages, and following up tenders to convert opportunities into awarded work. You’ll play a key part in protecting project margins, improving procurement efficiency and supporting smooth project delivery. Key Responsibilities Prepare accurate estimates for HVAC and mechanical services projects, covering labour, materials and drawings. Review plans, specifications and tender documents to develop competitive, well-supported bids. Source pricing from suppliers and subcontractors, expanding the subcontractor base to improve competitiveness and reduce risk. Check and refine estimates to ensure profitability and alignment with project requirements.li> Actively follow up tenders, speak with clients, clarify scope and convert opportunities into awarded work. Contract Administration Procure materials, equipment and subcontractors at the best price and quality, locking variable costs into fixed commitments to protect project margins. Prepare and manage project documents, contracts, schedules and variation claims. Support project planning and scheduling to keep delivery on time and on budget. Track variations, costs and materials to avoid errors, delays or incorrect orders. Maintain project records and databases with clear, accurate information. Assist with project close-out and lessons learned to support continuous improvement. About You Strong industry experience in HVAC, mechanical services or construction estimating/contract administration. Practical understanding of NCC, AS/NZS standards and mechanical services systems. Confident negotiating with suppliers/subcontractors and securing competitive procurement packages. Skilled at building client relationships, following up tenders and progressing opportunities. Strong analytical skills with close attention to detail. Excellent organisation, documentation and time-management abilities. Proficient with Microsoft Office and estimating/claims tools (e.g., Bluebeam, CostX, SharePoint). Current driver’s licence and willingness to travel within Melbourne. (Formal qualifications welcome but not essential — industry experience is highly valued.)
