Primary Objective:
Tactile Arts is seeking an Operations & Programs Manager responsible for the delivery of the organisation’s annual program of events: markets, workshops, exhibitions and artist in residency. Alongside day-to-day management of the organisation’s facilities: artist studios and retail outlets. 

This position is best suited to a pro-active, self-starter; an individual that can work independently, with small amounts of consultation, to achieve optimal results. 

The individual will be responsible for organising and arranging the organisation’s annual program of events and adhering to a budget created in conjunction with the General Manager. 

Experience or enthusiasm for the arts and crafts industry is important.

Key Duties and Responsibilities:
Reporting to the General Manager, the Operations & Programs Manager will be responsible for developing and managing Tactile Arts annual program of events, supported by and responsible for an Administration & Accounts Assistant. 

Programs (Workshops | Exhibitions | Markets | Artist in Residence):

  • Develop, implement, and manage the administration of a comprehensive workshop program, including adult workshops, masterclasses, kids’ workshops, and professional development for artists.
  • Plan, coordinate and manage the administration of an annual program of exhibitions for the Tactile Arts gallery. Tasks include promoting exhibition opportunities, liaising with artists, scheduling, providing curatorial support to exhibitors, preparation of exhibition documents such as contracts, overseeing the management of administration tasks (catalogues, sales sheets).
  • Coordinate and manage Tactile Arts program of Makers Markets, facilitated by a freelance staff member. 
  • Develop the artist-in-residence program, including promoting residency opportunities, consulting with artists.
  • Collaborate with the Administration & Accounts Assistant to provide support to artists during residencies.
  • Develop and manage the administration of public programming; complementary to the exhibitions and residency programs, such as artist talks, open studios, workshops.
  • Utilise software such as Shopify, Air Table and Mailchimp.

Retail: 

  • Assess retail stock; ensure that all approved items align with the organisation’s values. Communicate with stockists as required. 
  • Manage and oversee the retail outlets and volunteer workers; visit the outlets and check visual merchandising standards on a fortnightly basis. 
  • Ensure the Administration & Accounts Assistant fulfils stock management duties, and accounts protocols (reconciling artist commissions).
  • Recruit volunteers to assist with staffing the retail outlets and the program of events. 
  • Manage and support volunteers. Act as a point of contact during operational hours, schedule regular meetings and provide email updates. 

Marketing:

  • Coordinate the marketing of programs and events. Collaborate with a graphic designer and photographer to create promotional materials, for social, print, and digital media. 
  • Work with the team to create engaging content for social media.
  • Collaborate with the Administration & Accounts Assistant to create member communications and provide up to date programs and events information to the general public. 

Administration:

  • Utilise project management software (Monday.com) to achieve an efficient and organised project plan, in collaboration with the Tactile Arts team. 
  • Report against budgets developed in conjunction with the General Manager.
  • Produce and manage event and program related applications, contracts, and agreements.
  • Recruit, train and supervise contracted workers and/or volunteers.
  • Educate participants regarding protocols and responsibilities in line with the organisation’s guidelines and procedures. 
  • Manage the day-to-day running of the Tactile Arts facilities and studios. 
     

General Organisation:

  • Maintain and build positive working relationships with internal and external stakeholders. 
  • Work collaboratively with the Tactile Arts team to deliver Tactile Arts programming.
  • Perform any other duties as directed by the General Manager within the level of skills, capacity, and experience reasonably expected of someone capable of fulfilling the position.
  • Comply with Tactile Arts policies and procedures and with all relevant legislation and regulations.
  • Perform duties as required across a 7-day working week, including evenings for exhibition openings and weekends during the 3 annual makers markets. 

SELECTION CRITERIA 

  • Evidence of organisational skills, with a proven ability to work under pressure and meet deadlines. 
  • High level of computer literacy, with the capacity to learn new software and systems. 
  • Experience working collaboratively and/or managing colleagues and stakeholders. 
  • Well-developed interpersonal skills and a strong appreciation of the value of relationship development. 
  • Self-starter, ability to work independently with a ‘can do’ attitude. 
  • Demonstrated multi-cultural awareness and sensitivity. 
  • Ability to manage and adhere to budget constraints.
  • Experience in project management.
  • Appreciation of the role of arts and crafts in the community and drive to see it thrive.

Conditions: 

The successful candidate will receive four weeks of annual leave, 17.5% leave loading and flexible working arrangements with the condition that the candidate is available during core operating hours (10am to 2pm Tuesday – Saturday). Saturday’s can be shared between staff members and are not essential for this position. The successful applicant would need to be available on occasional Friday evenings for exhibition openings and weekends during Makers Markets (3 x per year).
