**Salary**: EUR 43,163 (EUR 3,083.07 14 times per year)
Applications are sought from persons interested in employment at the Australian Embassy in Vienna as Locally Engaged Staff. Initially a one year full time (36:75 hours per week) contract will be offered, with the possibility of conversion to a permanent contract after one year.
The Embassy and Permanent Mission is accredited to Austria, Hungary, Slovakia, Slovenia, Bosnia and Herzegovina, the United Nations and other international organisations in Vienna.
**About The Department of Foreign Affairs and Trade (DFAT)**
The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.
The Department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
**About the position**
The Corporate Services Officer (Property) is part of a team who provides services to support Embassy staff and the families of A-based officers to have safe, secure and reliable office and home environments. Under general direction, this position arranges and performs maintenance and repairs in the Chancery and leased properties. It also responds to property-related requests from tenants and maintains relations with both landlords and tenants.
This position also contributes to the broader work of the Corporate Services Section by performing duties relating to one or more of the IT or general administration functions, including Local Area Network Administrator (LANA) duties.
Key responsibilities of the position include but are not limited to:
- Taking primary responsibility for an allocated part of the Embassy’s property portfolio and secondary responsibility for other parts of the portfolio
- In those areas where this position has primary responsibility: ensuring that the office and home environments are well-maintained, fit for purpose, and support staff and families. This includes managing ad hoc and regular maintenance, arranging furniture purchases, and maintaining inventory registers
- In those areas where this position has secondary responsibility: supporting the officer with primary responsibility in performing these duties and providing back-up during absences.
- Liaising with landlords, service providers, etc. to arrange necessary works, repairs and maintenance
- Arranging documentation and clearance of A-based officer personal effects and all other official consignments
- Performing allocated IT or general administrative functions, which may include maintaining standalone devices and networks
**Required knowledge/skills**
- Good working knowledge of English and German
- High levels of discretion and judgment; understanding of the needs of Embassy staff and A-based families
- Excellent general technical knowledge and skills
- Professional trade training (e.g. electrician, plumber, carpenter) highly desirable
- Experience coordinating multiple external companies highly desirable
- Ability to work cooperatively with a range of stakeholders, including senior diplomats, tradespeople, and other team members
- Accuracy, thoroughness, and attention to detail
- Good self-management skills
- High level of interest in IT
**Selection Criteria**
- Experience of effectively managing stakeholders and suppliers; holding others to account professionally and courteously; ensuring standards of delivery are met and reflect value for money.
- Strong organisational skills, ability to manage multiple priorities whilst ensuring exceptional attention to detail
- Ability to communicate both written and orally in German and English and proactively maintaining communication networks to keep all stakeholders informed and build strong relationships.
- Excellent decision making and judgement and use of initiative to ensure service delivery requirements.
- A strong team player who is prepared to take on routine and administrative tasks and who has experience in full Microsoft Office Suite, particularly Excel and Outlook
