As an Office Manager in our agency you are the first person to make an impression on people who come to our office. You are mainly responsible for the organisation and coordination of a smoothly running daily business at our LOOP office in Vienna. At the same time you are supporting the company‘s management and your direct colleagues of all LOOP offices. You will have a broad and diverse area of responsibility within the front
- and back office.
**Requirements**:
- You are responsible for front desk duties including answering phone calls, keeping the front desk area tidy, arranging couriers, sorting and distributing post and much more.
- You are responsible for the preparation of client meetings and book meeting rooms, organize catering, welcome guests and clients.
- You have to support in coordinating and booking of business trips.
- We need your active support in the organization of internal and external events.
- You are responsible for general office related duties including our pool car management.
- You are responsible for keeping the office’s appearance presentable at all times by collaborating closely with the facility manager and cleaning staff.
- You have to monitor level of supplies and handle shortages.
- You have to assist all team members in every LOOP office with administrative and organizational topics.
- You will work closely together with the Office Managers in Salzburg on daily tasks and projects.
- You are the main intersection of internal requests of any kind.
- You are a team player, but able to take proactively action where needed and work independently as well.
- You have the reliability, flexibility, attentiveness and the ability to keep calm in stressful situations.
- You have an always open, outgoing, friendly, helpful and caring personality.
- You are incredibly organized and aware of what is going on around you.
- You are costumer and service-focused and able to maintain trusting relationships with colleagues, clients and suppliers.
- You are open to new tools and implementations related to the industry.
- Dealing with the newest MS Office is no problem for you.
- Driving licence B is required.
- German and excellent English language skills.
