As we continue growing in Europe, we would like to find a person to ensure that our iTechArt EU Headquarters in Vienna is functioning smoothly, and provide executive assistance to our team. This person will gain insights into many areas of the company and have the opportunity to learn from experienced employees and managers.

**Responsibilities**:
Events and Travel
- Support the creation and implementation of external event strategy: business breakfasts, presentations of the company’s capabilities, participation in networking events, etc.
- Manage the creation and implementation of internal event strategy for the Vienna HQ to unite the team and increase employee loyalty and team cohesion
- Assist with conference and event planning, corporate gifts planning and management;
- Coordinate various pop-up tasks such as negotiations with building managers and other vendors and contractors, booking restaurants for business meetings
- Organize the weekly team lunch with pizza and lunch deliver
- Assist with business trip planning: flights, transfers, hotels, ground transportation, etc.
- Facilitate and plan team outings

Office and Records Management
- Document management to support the business development, legal, and operations teams
- Record office expenditure and team expenses
- Research benefit plan best practices and extension
- Track team holidays and PTO

Human Resources Support
- Provide support for hiring activities (arranging interviews and writing follow ups)
- Coordinate high-level onboarding and induction of newly hired employees (office tours & welcomes)

What we’re looking for:

- A degree or ongoing study in the field of marketing, hospitality, economics, or related field
- Previous experience in office management will be a plus
- Experience with time management and communication tools
- Strong organizational and communication skills with a ‘can-do’ attitude
- A fast learner with a flexible personality and proactive approach
- Excellent command of written and spoken English and German
