We are an Engineering Consultancy Company who is looking for an Accounts and Administration Assistant with an eye for detail to join our professional and innovative team in Melbourne.
We are looking for an experienced administrator with proven ability to successfully support multiple staff simultaneously.
Role Description
The Accounts & Administration Assistant position is a full-time in-house role which is supported by the Administration Manager, Document Controller, Senior Administrator and Reception roles based at GLP offices in Melbourne.
The position is an established role within the organisation with the following focus areas:

Accounts & Administration support to the Administration Manager.
Administration support to Engineers, Draftspersons, Warehouse and Site Staff.
Processing end-to-end Accounts Payable and Receivable in MYOB
Assist processing of outward purchase orders for GLP Group & GLP Engineering.
Assist Administration Manager and Senior Administrator with financial reporting as directed.
Ensure records and registers are maintained in accordance with both internal and external procedures.
Answering phone and door in a friendly and timely manner.
Assist in general office maintenance, stationery orders and mail distribution.
Assist the Senior Administrator & Document Controller as required.
Key Responsibilities and Expected Results
Accounts & Administration Support:

The main function is to perform duties under the direction of the Administration Manager.
To provide support to all GLP staff including Senior Management, Engineers, Draftspersons, Warehouse and Site Staff.
Responsible for accurate entry into MYOB of all Accounts Payable and Receivable including reporting on both to Administration Manager and Senior Administrator as requested.
To process the inventory management in MYOB with the Warehouse Managers assistance including monthly and annual inventory reconciliation.
Data entry into company registers with accuracy
Daily maintenance of the administration and accounts inboxes with workflow being completed in a timely manner.
Support Functions:

To assist the Senior Administrator and Administration Manager with financial reports as directed.
To assist with overflow of document control as required in all document control functions.
Quality & Documentation:

Ensure GLP's Quality Management System Policies & Procedures are adhered to at all times.
Ensure that all information, documentation and records are generated and/or received in a timely manner and maintained at all times.
To participate in GLP internal or external audits as required.
To work with GLP management to strive towards continuous improvement of systems and processes.
To ensure confidentiality is maintained at all times regarding GLP's business and information.
Health Safety & Environment:

Ensure GLP's Safety Management System Policies & Procedures are adhered to at all times.
To champion the GLP safety objective of zero injuries in all activities.
To participate in GLP periodic office safety checks as required.
To maintain a high level of housekeeping at all times.
General:

To carry out any reasonable instructions as directed by GLP Management.
To perform all duties in a timely and accurate manner.
To maintain a neat and tidy appearance in-line with GLP's dress code.
To provide a positive contribution towards GLP culture and working environment at all times.
Skills and Experience:

Minimum 4+ years of experience working in accounts, preferably using MYOB package.
Minimum 4+ years of experience working within an office environment, in a range of activities.
Personal Attributes:

Maintain a neat and tidy appearance in-line with GLP dress code.

Continually strive to improve office systems.
Strong interpersonal skills.
Well organised and able to plan your own work.
Ability to meet deadlines.
Team orientated.
Self-aware and able to ask for assistance where required.
Core Competencies:

Minimum of Intermediate computer skills, with Microsoft Office products.
High level of accuracy in data entry and all activities.
Medium level of accounting compliance knowledge & adherence
High level of customer service both externally and within GLP.
Relating well to work colleagues.
