About the team – AIS Clinical Services provides system leadership and clinical support to Australia's high performance system, including National Sporting Organisations (NSOs), the National Institutes Network (NIN), coaches and athletes.
AIS Clinical Services operates on a flexible and agile model to provide the right support to the right athletes at the right time.
All functions of AIS Clinical Services are aligned with AIS strategic objectives to achieve sustainable success of Australia's high performance athletes in the international arena.
AIS Clinical Services provides system leadership on matters of integrity, the health & welfare of athletes and excellence in the delivery of clinical services.
About the role – The focus of this role is to provide professional reception and appointment management for AIS Clinical Services (Sports Medicine and Physical Therapies), and administrative support to the Clinical Services staff.
Under direction from the Clinical Services Practice Manager, the Clinical Services Receptionist will deliver quality service and support to achieve business outcomes.
This includes: Provide professional frontline reception services for AIS Clinical Services including call management, appointment booking services, room bookings, and maintenance of a professional reception area. Maintenance of the practice schedule and equipment through practice management software and innovative applications and spreadsheets. Under the guidance of the Practice Manager, provide administrative support to the Chief Medical Officer (CMO). Provide support to the Clinical Services team in relation to athlete servicing, including assistance with record keeping, management of external appointments and sending referrals. Under the direction of the Practice Manager, assist with administrative day-to-day operation requirements of the Clinical Services staff, including arranging and coordinating meetings, workshops, seminars, conferences and committees, associated travel arrangements and itineraries for staff and national/international visitors. Under the direction of the Practice Manager, assist with some basic financial requirements of the department including producing and sending invoices, and assisting contractors. Actively promote and role model the ASC values of Excellence, Integrity, Respect and Teamwork, and contribute to positive organisational change, effective communication, and continuous improvement at the ASC. Act as a point of contact/receptionist for visitors and staff presenting to the AIS High Performance Centre and perform other tasks as required/requested. About you – Work collaboratively as part of a high performing team/organisation, establishing and maintaining effective partnerships with key internal and/or external stakeholders to deliver high quality business outcomes.
We are looking for a motivated individual with excellent attention to detail and experience delivering reception and administrative support.

The successful candidate will require: Working with Vulnerable People Clearance card for ACT. Current First Aid and CPR Certificates. Strong preference given to those with a background of medical or allied health reception experience. Ability to multitask in a reception context. Motivation to work both autonomously and under direct supervision. Ability to assist and mentor casual reception team members when fully trained. A commitment to adhering to the ASC learning and development framework, and a proven desire to further develop. Previous experience with Microsoft Office Application and practice management software highly regarded. A track record of high-level engagement in a previous/current role. This position is offered as a FIXED TERM full-time position until May 2, 2025.
