Melbourne Showgrounds is seeking a dynamic and detail-oriented Venue Operations Coordinator to ensure the seamless execution of events and maintain the high standards of our venue.As a Venue Operations Coordinator, you will be at the heart of Melbourne Showgrounds' operations, both during events and non-event periods. This role is pivotal in providing high-level customer service and operational support to our clients, and you will often be the primary point of contact onsite.Due to the dynamic nature of events, the Coordinator will report to the relevant on-duty Operations Manager for each shift, as determined by the event schedule and roster. This flexible structure ensures effective operational oversight while maintaining consistent long-term performance management and leave administration through the Senior Manager, Operations.This role requires flexibility to work on a fortnightly rotating roster, with shifts scheduled across the span of hours from 7:00 AM to 7:00 PM, including weekends. This ensures that our venue operations are effectively supported throughout the week.Key Responsibilities:General OperationsCollaborate with sales and event planning teams to manage all operational aspects of event delivery, including plant and equipment, traffic management, and car parking.Execute event setup according to client specifications, ensuring venues are ready with the correct furniture and equipment.Ensure all venue facilities are prepared and available for clients, and address any risk, maintenance, or safety issues.Coordinate assigned day-to-day activities at the venue, including site presentation and maintenance.Liaise with the facility management team to communicate and address maintenance issues promptly.Assist with supervising and coordinate casual and contract staff as required.Onsite Event ManagementAct as the primary contact for assigned clients during events, ensuring smooth communication between clients and suppliers.Assist with overseeing the delivery of events, maintaining high standards and ensuring safety protocols are followed.Assist with managing event suppliers, including cleaning, security, catering, and equipment hire.Provide excellent customer service, fostering strong relationships with clients through regular check-ins and prompt issue resolution.Complete event documentation, including shift reports, debriefs, and incident reports.Desired Skills and ExperienceWhat are we looking for?Proven experience in operations or logistics, ideally within an events environment.A valid Driver's Licence and Forklift Licence are essential.Flexibility to work varying hours, including early mornings, evenings, weekends, and additional hours during events.Fire Warden and First Aid Level 2 certification (or willingness to obtain).Strong interpersonal skills, with the ability to build relationships, influence, and negotiate with a range of stakeholders.Demonstrated customer service excellence, with a collaborative and solution-oriented approach.Sound judgment, problem-solving, and decision-making abilities.Proficiency in Microsoft Office applications and experience in office administration.Strong organisational skills, with the ability to multitask and meet tight deadlines.Knowledge of workplace health and safety legislation and emergency management procedures is highly desirable.A proactive attitude, with the ability to perform under pressure in a busy environment.High work ethic, integrity, and a commitment to continuous improvement.Organisational Compliance:Current Working with Children Check.National Police Check.Availability to work all 11 days of the Melbourne Royal Show.Adherence to Melbourne Royal's Code of Conduct, policies, and values.Why Join Us?Melbourne Showgrounds is a vibrant and dynamic environment, offering a unique opportunity to be part of some of the city's most exciting events.
