About the role
We are seeking a full-time, detail-oriented and customer-focused Group Reservations and Sales Coordinator to join our team.
In this role, you will be responsible for managing group reservations, ensuring a seamless booking process for group clients, and delivering exceptional guest experiences.
You will be the key liaison between group clients, the sales team, and hotel operations, ensuring that all group reservations and sales administration are handled accurately and efficiently.
Key Responsibilities:
Co-ordinate group reservation requests through telephone, email, GDS and iVvy (CRM) leads.
Maintain group and sales communication methods, meeting efficiency targets.
Work closely with the Sales and Revenue Departments regarding group rates and requirements.
Manage end-to-end group booking workflow using the IVvy including entering group reservation requests, preparation of proposals and contracts for the client.
Manage end-to-end group bookings into Opera, ensuring rate codes, rates, room types, rooms held and market segments are accurate.
Coordinate all group reservations paying particular attention to amendments, group requests, rooming lists, room allocations, deposits and final invoices.
Communicate in a timely manner all client and group requirements including special requests to the appropriate department(s) and follow up to make sure the requests have been fulfilled in accordance with the client's requirements.
Complete client account reviews and post group stay follow-up.
Assist in identifying new sources of business including corporate accounts, external groups, residential conferences and special events.
Skills & Experience:
Experience with Opera PMS a must.
Experience with iVvy CRM preferred.
Excellent attention to detail.
Ability to work well under pressure and handle a high volume of calls and emails.
Strong customer service skills with a sales focus.
The ability to work flexible hours, including weekends.
