REnew Pacific is a AU$75M program over 4.5 years.
It aims to scale and expand on the critical lessons learned in the DFAT-funded Business Partnerships Platform (BPP) pilot to support DFAT and the Australian Infrastructure Financing Facility for the Pacific (AIFFP) to address climate infrastructure mitigation, adaptation and resilience among Pacific states and help Australia be the climate infrastructure partner of choice in the Pacific.
Purpose of Position Reporting to the Operations Lead, the Grants Coordinator is the focal point for the REnew Pacific team's grant management.
This includes working closely with grant partners and monitoring the portfolio of grants, with a focus on governance, operational capacity, financial reporting and risk.
The Grants Coordinator will work closely with the Operations Team and the Partnerships and Portfolio Team to provide responsive and robust support establishing, managing and monitoring grant agreements with partners.
Primary Responsibilities Establish and maintain working relationships with stakeholders, including liaising with implementing partners / grantees.Draft and prepare project grant agreements.Monitor and quality assure deliverables against agreed timelines and content in collaboration with Portfolio Managers.Support the procurement / grants function ensuring all processes are operationally robust and implemented in accordance with DFAT and Palladium guidelines, including risk management processes (e.g.
acquittals and spot checks).Support the management of REnew Pacific's Risk Register and Fraud Control Strategy, under the guidance of the Operations Lead.Support the Partnership & Portfolio Lead with project co-finance accounting and reporting, including data updates to the MIS.Assist in strengthening of REnew Pacific's operational procedures and templates, including safeguards, due diligence and technical tools for advisers, such as reporting templates.Contribute to Monitoring, Learning and Evaluation (MEL) activities as required, including producing analysis / content for head contract deliverables.Other duties as may reasonably be required by the Operations Manager and consistent with the incumbent's qualifications and experience.Reporting Requirements Attendance at team meetings, other requested meetings and regional meetings (e.g.
townhalls).Regular (minimum of monthly) one to one meetings with your line manager on the status of personal Key Result Areas (KRAs), career development discussions and any other matters.Reporting to the Team Leader during Operations Lead absences.Palladium encourages flexible work practices to enhance wellbeing, productivity and team culture.
For this role, we require that employees maintain an in-office presence for at least 50% of their working week.
For example, if an employee works five days a week, they must spend at least three days physically in the office.
Minimum Education and Experience Required Qualifications Undergraduate degree in a relevant field (for example, business, accounting, audit, international development or environmental science related discipline).Skills and Experience Experience working with donor agreements and grants functions.
Experience with Australian Government / DFAT-funded programs and demonstrated experience of key Australian Government aid delivery policies (including the Commonwealth Procurement Rules, Grant Rules and Guidelines and DFAT's Safeguarding policies) desirable.Experience in supporting cross-sectoral international development activities, including drafting grant agreements, financial management, compliance and fraud control, acquittals and audits.Demonstrated skills in project administration including high proficiency in Word, Excel, PowerPoint and with program and financial management systems.Strong cross-cultural, interpersonal, communication, stakeholder engagement and capacity strengthening skills.Personal Attributes Responsive and committed team member with the ability to work confidently under pressure.Ability to manage competing priorities in a fast-paced environment.Excellent attention to detail.A professional commitment to principles of gender equality and social inclusion, safeguards and anticorruption.Core Capabilities Palladium's Core Capability Framework for APAC Projects outlines the standard of performance and behaviours expected at each level within the organisation.
