Job Description The Executive Assistant to the Chief Marketing Officer (CMO) manages a diverse range of tasks requiring problem solving, discretion and operational excellence.
Working across a dynamic and fast-paced portfolio, we require an experienced professional to support the CMO's strategic priorities.
Duties include:
Provision of confidential and professional secretarial support to the CMO Diary management - organise and manage the CMO's diary and appointments Preparation and distribution of correspondence and processing of mail Ensure appropriate information is to hand prior to meetings Prioritise all tasks appropriately, utilising time management techniques to ensure all assigned tasks are completed in a prompt and professional manner Complete all word processing, spreadsheet, desktop publishing and database management in a professional manner Organise and book all approved travel and accommodation for CMO Register CMO staff for attendance at seminars, workshops and training courses Assist with set up of seminars - book venues, flights & accommodation Organise function bookings and liaise with venue Liaise with Executives and Managers as required Attend meetings, record minutes and prepare matters arising documents as required Maintain training and development and other registers as required Reconciliations of credit cards, processing of accounts/invoices and reimbursement processing Undertake a cost-conscious approach to expense management, external utilisation of venues and service providers to achieve departmental budgets and optimise value for money where appropriate Desired Skills and Experience Skills and experience:
Possess advanced level skills, knowledge and experience in the practical application of Microsoft Office applications including Word, database management, Excel, Desktop publishing and Outlook Demonstrated experience of at least two years in providing high level administrative support and sound understanding of managing a corporate office Demonstrated ability to prepare high quality correspondence to external parties Accurate and efficient typing skills with experience in using Microsoft Office, in particular Word, Excel and presentation software Ability to maintain confidentiality Ability to display a professional demeanour Excellent time management and organisational skills Excellent communication and interpersonal skills Ability to work independently, handle multiple tasks simultaneously and manage one's own time and the time of others Proactive and meticulous work approach with a high level of attention to detail Ability to remain calm and focused under pressure We look forward to your application.
