Administrative Assistants (Administration & Office Support) This is a full-time position.
We require someone who lives in Sydney; however, the role is 90% remote.
There would be one day in the office per week based in Woolloomooloo.
About Us: We're Exyt, a multi-million dollar business coaching and advisory firm based in Sydney, launched in April 2023.
Founded by Andrew Sparks, run by a boutique team of hustlers, we currently have 10 members, some of whom work remotely.
We have a program called Exyt Accelerator, designed to help business owners step out of the operations of their business in 500 days or less or sell for a life-changing amount of money.
Role Overview The Office Administrator & Event Manager will oversee the smooth operation of office functions while taking the lead on planning and executing company events.
This dual role requires exceptional organizational skills, a proactive approach to problem-solving, and a strong ability to manage multiple priorities.
You will support the team with administrative duties while ensuring all events, both internal and external, align with company values and goals.
You will be responsible for maintaining office efficiency, managing calendars, and supporting various operational needs, while also taking ownership of event planning and coordination.
The role demands a professional who is resourceful, detail-oriented, and thrives in a collaborative environment.
The business and every department within it will need the full support of this position.
You will be responsible for overseeing a diverse range of responsibilities from managing administrative tasks for the business (particularly our members) to compliance with HR policies and procedures, as well as general office management for the Australian-based team members.
You will also manage the recruitment administration and onboarding process while fostering a positive employee and workplace culture.
Collaboration will be key, as this role will encompass both strategic initiatives and day-to-day operations, working with offshore teams to support the advisory and coaching teams and the growth of our organization.
Key Responsibilities Office Administration: Manage daily office operations, including maintaining supplies, scheduling, and liaising with external providers.Coordinate team meetings, prepare agendas, and take meeting minutes.Support communication across teams, ensuring timely responses to inquiries and requests.Maintain office records, databases, and filing systems.Assist in onboarding new hires, providing them with required materials and support.Support the coaching team with new members by ensuring the timely delivery of welcome gifts and event preparation materials.Event Coordination: Plan and execute company events, including workshops and team-building activities.Develop event timelines, manage budgets, and ensure all logistics are handled.Work closely with vendors and other stakeholders to meet event requirements.Monitor event performance and gather feedback for future improvements.Represent the company professionally at events and act as a point of contact for attendees.Team Collaboration: Coordinate with department heads to ensure alignment on administrative needs and event goals.Maintain a positive virtual office environment by organizing occasional morale-boosting activities.Support marketing efforts by ensuring seamless communication around event promotion.Key Performance Indicators (KPIs): Overall event feedback for attendees at 80% or higher.Event budget adhered to for every event.Office administrative tasks performed on time as per the SOPs.If this sounds like you, and you are ready to put yourself in an environment where continuous improvement, ownership, and good vibes are part of your everyday, then please apply with a cover letter specific to this opportunity.
