Position Title: Virtual Assistant to the Executive Team
Location: Remote
Employment Type: Full-Time / Part-Time
Overview:
We seek a tech-savvy, organized, and self-motivated Virtual Assistant to support our Executive Team.
This role requires a professional who thrives in a remote work environment and excels at managing multiple priorities.
The ideal candidate will provide high-level administrative and operational support, ensuring the efficiency and effectiveness of the executive team's daily activities.

Key Responsibilities:
Administrative Support:
Manage and coordinate the executive team's calendars, including scheduling virtual meetings, appointments, and events.

Organize and prepare meeting agendas, presentations, and follow-up materials.

Handle and prioritize email correspondence, responding on behalf of the executives as needed.

Project Management:
Support the execution of special projects, tracking timelines, milestones, and deliverables.

Coordinate with team members and stakeholders to ensure project goals are met.

Communication Liaison:
Act as a point of contact between the executive team and internal/external stakeholders.

Draft and proofread professional correspondence, reports, and presentations.

Travel and Event Coordination:
Arrange virtual and in-person event logistics, including scheduling and coordinating participants.

Assist in booking travel and preparing detailed itineraries as needed.

Data Management:
Maintain and organize electronic files, databases, and shared drives.

Create reports, spreadsheets, and documents to support decision-making.

Operational Support:
Monitor and manage recurring tasks, including expense reporting and subscription renewals.

Assist with onboarding new team members by preparing materials and coordinating schedules.

Qualifications:
Proven experience as a Virtual Assistant or in a similar remote administrative role.

Strong organizational skills with the ability to multitask and prioritize effectively.

Proficiency in productivity tools such as Google Workspace, Microsoft Office, and project management software (e.g., Asana, Trello, or Monday.com).

Excellent written and verbal communication skills.

Ability to maintain confidentiality and exercise discretion when handling sensitive information.

High level of self-motivation, accountability, and attention to detail.

Comfortable with video conferencing tools (e.g., Zoom, Microsoft Teams).

Preferred Qualifications:
Experience supporting multiple executives simultaneously.

Knowledge of basic accounting and expense management systems.
