The Executive Assistant serves as the chief of staff of the market cluster DACH (Germany, Austria, Switzerland). The position works closely with the General Manager DACH, the country managers for Austria and Switzerland as well as the leadership teams of the three countries to organize and manage the operating mechanisms for the cluster, such as preparing, running and following up monthly management meetings, business reviews, important internal and external events and the supporting administrative tasks. The Executive Assistant owns the calendar of the market cluster and also runs or supports specific commercial and administrative projects in the region. **Principal Duties and Responsibilities**: - Organizing management meetings and business reviews: preparing the agenda, protocolling, action item follow-up with the respective owners of the tasks. - Planning and supporting internal events such as sales conferences, trainings etc. as well as external events with customers in coordination with marketing services and sales - Coordination and management of the DACH and German management calendar and appointment-follow-ups - Travel booking, Expense report submission - Signatures & forwarding to correct departments, absence management (SAP), financial approval process, tracking payments and invoices, monitoring accruals, general correspondence, and subscriptions - Coordination and organization of international business trips, booking of flights, ground transfer and hotels via concur or with local entities. - General, all-round administrative support for the VP & Dept. Members - (filing; archiving; couriers; office supply orders; facility issues, etc.) - Supporting with legal documents; supporting with signature for corporate Legal - General collaboration with the Finance and HR Dept. - Coordination of tasks with other administrative assistants when necessary This is not an exhaustive list of duties or functions and may not necessarily comprise all of the "essential functions” **Expected Areas of Competence**: - Strong team player with the ability to build relationships across and outside the organization - Demonstrated ability to handle a significant workload in a fast-paced environment - High degree of professionalism, diplomacy, discretion, judgment and cultural sensitivity - Operates independently, uses initiative and innovation to handle issues and makes decisions within the area of responsibility and directions given - Demonstrated strong organization skills, with the ability to work on multiple tasks simultaneously and balance priorities. **Education/Experience Requirements**: - Relevant professional diploma/degree - Professional experience - Several years of experience in administrative or related roles, with experience supporting senior level executive desired - Excellent verbal and written communication skills in English and German - Ability to adapt quickly to changing priorities - Flexibility, versatility - Results Driven - Curiosity and continuous learning mindset - Relationship building skilss **Travel Requirements**: none **Benefits**: We offer: - a varied and challenging area of responsibility in a motivated international team - an open door policy in a supportive working environment - attractive salary package (base salary starting from 50.000,00 Eur gross p.a. + bonus) - compelling corporate benefits eg.
