The Facilities Manager provides strategic oversight and leadership in the areas of maintenance, compliance, and service delivery across multiple PBSA sites in Australia. Reporting to the Senior Accommodation Manager, the Facilities Manager ensures all properties meet Australian standards and regulatory requirements while supporting the operational execution led by the on-site Accommodation Managers. The Facilities Manager will oversee the building performance, sustainability, and long-term planning. Daily operations, including frontline facilities tasks are led by the Accommodation Managers. The Facilities Manager supports them by managing contractors, guiding maintenance plans, and ensuring asset strategies are in place to maintain high standards and enhance tenant satisfaction. Key Responsibilities: Building Operations & Maintenance Manage the operations and maintenance of all building services, including HVAC, electrical, plumbing, mechanical, hydraulic, vertical transport and fire systems Conduct regular building inspections, audits, and implement Planned Preventative Maintenance (PPM) schedules. Oversee technical services and ensure efficient, cost-effective delivery of both planned and reactive maintenance. Compliance & Safety (WHS) Ensure full compliance with Australian Standards (AS), Work Health and Safety (WHS) regulations, Essential Safety Measures (ESM), and state regulations. Coordinate safety drills, evacuation plans, and emergency system testing. Identify hazards, conduct risk assessments, and manage safety registers. Support risk management practices and ensure compliance with company policies on WHS, environmental sustainability, and data privacy. Engage, manage, and evaluate third-party contractors for both soft and hard services, ensuring compliance with KPIs, SLAs, and HSE standards. Ensure all contractors have valid public liability insurance and receive inductions. Demonstrate strong negotiation and stakeholder management skills to maintain positive relationships and resolve issues efficiently. Oversee vendor management, purchase orders, and service requests. Tenant & Stakeholder Management Address complaints, feedback, and maintenance issues promptly. Coordinate tenant fit outs or refurbishments in line with building policies. Asset Management & Sustainability Implement a comprehensive asset management and maintenance strategy, including Asset Life Cycle Plans for all properties. Introduce and maintain an asset management system to track asset performance and reliability. Optimise energy use, pursue sustainability improvements (e.g. NABERS targets)., and deliver value through operational efficiencies. Develop and apply key metrics and indicators to measure asset/facilities performance, equipment reliability, and department operating costs. Develop and monitor operational and capital expenditure budgets. Contribute to strategic asset management plans. Maintain accurate asset registers, service logs, and compliance documentation and records. Prepare monthly and ad hoc reports on facility operations, budgets, incidents, and improvement initiatives. Support project planning and capital works management. Must adhere to all company policies, including WHS environmental sustainability, data privacy, and legal compliance. Management of Property Service Coordinators Lead, support, and develop the Property Service Coordinators to ensure consistent, high-quality delivery of facilities and maintenance services, fostering professional growth and adherence to compliance, safety, and operational standards. Skills Required & Qualifications Degree or Diploma in Facilities Management, Building Services, Engineering, or related discipline. 3 or more years of experience in facilities, property, or building management, ideally within a retail or multi-site environment. Proven experience implementing preventative maintenance programs and asset management strategies. Proven experience managing multi-level commercial or residential properties. Familiarity with Australian building codes, WHS, and ESM requirements. Experience in records and vendor management, budget management, and financial analysis. Project planning experience is advantageous but not essential. Cert IV in Work Health and Safety (WHS), Advisor accreditation, NABERS or Green Star awareness, White Card (General Construction Induction). Technical Skills Sound knowledge of building services and systems, including mechanical, electrical, hydraulic, fire, security, structural, and plumbing, as well as relevant building codes. Strong technical understanding of base building systems, compliance, and operational management. Computer literate – proficiency in MS Office, FM systems, BMS platforms, and asset management systems. Core Competencies Strong administration and maintenancep> Excellent communication, negotiation, and stakeholder management skills. Ability to multitask and manage multiple sitesp> Proactive and professional approach to customer service and stakeholder engagement. Strong prioritization, organizational, and planning skills with a focus on continual improvement and best value. Understanding of HSE and ESG principles in building operations. Strong grasp of WHS regulations, building codes, and facilities legislation (multi-state experience desirable). Working Conditions Site-based role with occasional off-hours support for critical issues. Participation in on-call roster or emergency response team may be required. \ between multiple sites as needed.
