What we’re looking for As our Donor and Surrogacy Program continues to grow, we are seeking a motivated and dedicated individual to join us as a Donor and Surrogacy Programme Coordinator . This is a full‑time position on a 12‑month fixed‑term contract , offering flexibility and may be based in Melbourne, Sydney or Brisbane. In this role, you will work across all donor programmes while contributing to key projects that ensure compliance with Victorian and state‑based legislation. The position requires strong administrative skills, exceptional attention to detail, and the ability to work with empathy and professionalism in a patient‑focused environment. What you’ll be doing Manage registration, documentation, and compliance for donors and intending parents in accordance with national regulations Coordinate medical, counselling, and donation appointments and maintain accurate donor and surrogacy records, including family limits, screening, and storage requirements Conduct audits of donor and surrogacy inventory, records, and storage periods to ensure regulatory compliance Liaise with internal and external stakeholders, including fertility specialists, counsellors, and committees, providing updates and escalating complex matters as required Provide ongoing support and advocacy for donors throughout their programme journey Maintain organised files, compliance tracking, reporting, and contribute to quality improvement and best‑practice development About you Exceptional organisational skills and attention to detail Excellent customer service and communication skills, both written and verbal Strong judgement and commitment to compliance and confidentiality Ability to work independently and collaboratively within a multidisciplinary team Sound problem‑solving skills and adaptability in a dynamic environment High level of administrative and digital proficiency Compassionate and culturally sensitive approach to patient care Commitment to service excellence and building effective professional relationships Not essential, but nice to have Healthcare administration training or experience Experience in Assisted Reproductive Technology or donor programme administration Understanding of Australian Assisted Reproductive Technology laws and regulations What we offer At Melbourne IVF, we are committed to supporting our employees’ well‑being and professional development.
