Role Overview As Executive Assistant & Office Manager you’ll play a pivotal role in the Operations team, being responsible for ensuring the smooth and efficient running of day‑to‑day business operations for our most senior executive, our CEO. This role provides proactive, high‑quality administrative and personal support to the Chief Executive Officer, while also managing the coordination of office administration, culture, and events. At this level, the role delivers consistently reliable work with minimal supervision, using sound judgment to manage competing priorities and uphold a high standard of professionalism. This means you’ll be the trusted right hand to the CEO, ensuring their time, focus, and commitments are well managed while maintaining the efficiency and vibrancy of the wider office environment. 5 Key Capabilities The best part… we use our Acorn software at Acorn. Here are the 5 key capabilities for the role and the level expected to give you an idea of what the role entails: Executive Support, Diary & Email Management: Prioritise and manage executive schedules and correspondence to protect focus, coordinate stakeholders, and enable timely decisions that advance business priorities. Level - Advanced: At the advanced stage, you proactively shape executive time and inboxes to strategic priorities. You broker trade‑offs across teams, automate tasks, coach peers. Results: faster decisions, fewer conflicts, protected focus. Stakeholder Communication & Confidentiality: Engage internal and external stakeholders with clear communication and safeguard confidential information to build trust, manage risk, and enable well‑informed decisions and smooth operations. Level - Advanced: At the advanced stage, you tailor updates, apply need‑to‑know confidentiality and sound judgement, and elevate risks early. You coordinate stakeholders so complex PLMS decisions accelerate and relationships stay trusted. Travel, Meeting & Event Logistics: Plan, coordinate, and deliver travel, meeting, and event logistics to enable seamless experiences, control cost and risk, and support business outcomes. Level - Proficient: At the proficient stage, you deliver meeting, event and travel logistics. You manage budgets, WHS and suppliers using approved tools. You adapt to change with run sheets for reliable outcomes. Vendor, Procurement & Expense Administration: Manage suppliers, procurement, and expenses to secure value for money, ensure compliance, and reduce commercial risk across organisational spend. Level - Proficient: At the proficient stage, you independently run vendor, procurement, and expense workflows. You flag risks and savings, keep records, and negotiate within policy. This delivers faster, compliant, cost‑effective outcomes. Workplace Operations & Facilities Coordination: Plan, coordinate, and optimise workplace operations and facilities services to maintain safe, compliant, and welcoming environments that enable business continuity, support productivity, and control costs. Level - Proficient: At the proficient stage, you run workplace operations, coordinating contractors, access and bookings. You track SLAs, costs and WHS, communicate changes, elevate risks and keep workplaces safe, functional and compliant. Key Responsibilities Provide proactive and confidential executive support to the CEO, including complex diary management, scheduling, travel, and expense coordination. Manage the CEO’s calendar with discretion and professionalism, ensuring clear professional communication and strong relationships with clients, partners, and internal stakeholders. Support the CEO with a range of personal and administrative matters, such as coordinating household maintenance and repairs, overseeing bill payments, organising personal appointments, arranging holiday travel, and assisting with personal errands as required - always with sensitivity, trust, and absolute confidentiality. Anticipate the CEO’s needs by preparing briefings, materials, and agendas in advance of meetings and travel. Coordinate meetings, workshops, and company events, managing logistics, materials, and communications end‑to‑end. Oversee day‑to‑day office operations, including facilities, supplies, vendor relationships, and workplace systems, ensuring a well‑functioning and welcoming environment. Support onboarding, culture initiatives, and internal events that strengthen engagement across the business. Prepare and format professional correspondence, documents, and presentations to a high standard. Work to an allocated budget for office operations and events — managing expenses, processing invoices, and monitoring costs in collaboration with Finance. Act as a key point of contact for visitors and external partners, representing Acorn and the CEO with warmth and professionalism. Uphold the highest standards of confidentiality, discretion, and professionalism in all interactions and communications. Required Experience 2–4+ years of experience as an Executive Assistant supporting senior executives in a dynamic organisation. Proven ability to manage complex calendars, travel arrangements, and shifting priorities with composure and professionalism. Demonstrated experience handling sensitive and personal matters discreetly. Strong written and verbal communication skills, with the ability to engage effectively with clients, board members, and senior stakeholders. Highly organised and adaptable, with a keen eye for detail and the initiative to anticipate needs. Proficiency with productivity tools (e.g. Microsoft Teams, Outlook, Canva, Excel or equivalent). Experience tracking and managing budgets, ensuring efficient use of resources and cost control. Positive, proactive, and people‑oriented mindset with a focus on creating an efficient and inclusive workplace culture. Compensation One of our core values is transparency and we believe in being upfront with candidates throughout the recruitment process, to make sure expectations are aligned.
