About the role: We are seeking a Marine Coordinator, the position being an integral part of a small and dedicated Marine Team. Whilst the role is multifaceted and works closely with all members of the Marine Team, the Marine Coordinator’s core responsibilities include ensuring SeaRoad vessels are appropriately manned throughout the year, and overseeing the timely and accurate preparation of time sheets for payroll processing for our approximate 80 seagoing employees. The role reports directly to the General Manager–Marine and a substantial training period will be afforded to the successful candidate. Although primarily an onsite role worked from 08:30 to 17:00, five days per week, the nature of the job requires occasional out of hours availability to emergencies as needed. The position requires someone that builds relationships, can manage the complexities of three enterprise agreement’s, has a high attention to detail and manage multiple workflows. Key Role Responsibilities: Understanding and correct application of individual Enterprise Agreements (3). Coordinating crew movements year-round and travel requirements. Processing of timesheets to payroll fortnightly. Vetting of seafarer’s certification and qualifications and ensuring certification is updated in the Marine database. Oversee vessel fuel oil supply and complete monthly reconciliations. Basic invoice approvals and complete invoice reconciliations as required. The Marine Coordinator and Marine Administrator are conjoined positions and must work closely together. The position may include some audit training and the undertaking of internal audits. Experience and Skills Required: Demonstrated experience in managing complex, senior / high level administrative functions. Strong proficiency in the Microsoft Office Suite, with advanced capability and skills in Excel and Word. Prior experience or qualifications in crewing, payroll and or basic finance are highly regarded. Exceptional written communication skills, with strong attention to grammar and spelling. Strong interpersonal skills with the ability to build and maintain effective professional relationships. Proven ability to handle sensitive information with discretion and maintain strict confidentiality. Proven ability to work effectively under pressure while maintaining high standards of accuracy and professionalism. Prior experience in the shipping industry is advantageous. A current Australian Driver’s License and access to a car is essential.
