Administrative Assistant – Radiotherapy The closing date is 03 December 2025. To deliver and maintain a professional Reception and administration service to patients, visitors and colleagues. Main duties of the job Input information onto the Epic System. Input information onto Mosaiq. Effectively and professionally welcoming patients, visitors, relatives, colleagues and Trust Staff into the department in a friendly and courteous manner, presenting a good image of you through your attitude, behaviour and appearance. Plan and organise a range of straightforward tasks, ensuring the provision of a professional Administration service. Contribute to ensuring that the working environment is safe and of a professional appearance, reporting any problems, organising repairs/collection of waste as appropriate and maintain efficient and effective use of resources. Greet visitors and respond to requests for basic information. Book patients in for treatment using the Mosaiq System. Receive and respond to telephone calls. Receive and respond to straightforward emails. Maintain stock levels. Cover other positions during absence. Complete administration tasks including scanning documents, photocopying. Deal with Transport patients and subsequent queries involving transport, liaising with the transport desk to ensure patients arrive or leave the department in a timely manner. Person Specification Qualifications Numerate and literate Educated to GCSE level or equivalent Educated to GCSE level A‑C or equivalent Experience Planning and organising straightforward tasks Customer Service/ Business Admin /ITQ or equivalent professional experience Experience of using IT packages Experience of working in an office environment or reception Experience of customer service or dealing with the public Previous experience of working in the NHS Previous experience of working with medical records Experience of call handling Knowledge Understanding of confidentiality Understanding of customer service Ability to follow procedures and protocols Basic knowledge of the Trust Skills Ability to work as part of a team Good communication skills including telephone, email, face to face Ability to follow processes and procedures Ability to manage time working to schedule and timescales Basic IT skills – ability to use Microsoft Office Outlook Good organisational skills Willing to take on/learn new skills Ability to show attention to detail Ability to adapt to change Ability to work under pressure Ability to store and safeguard confidential documents Ability to act on own initiative Ability to touch type Additional Requirements The ability to understand and behave at all times, towards patients, visitors and colleagues according to the Trust values of safe, kind, excellent.
