About the Role As the Part‑Time Events Coordinator, working 3 days a week, you will be responsible for planning, organising, and executing a range of events for the firm, including internal and external events such as client networking functions, business law breakfasts, and partnership activations. You will work closely with our marketing and client engagement teams to ensure each event aligns with Aitken Partners’ high standards and goals. Key Responsibilities Develop and implement an annual event calendar in alignment with the firm’s marketing and business development objectives. Work with the Head of Marketing & BD to define event goals, target audiences, key messages, and success measures. Contribute to event strategy, including audience segmentation, event format, and thematic alignment with the firm’s strategic priorities. Organise, develop, and implement the firm’s monthly breakfast events, as well as other key external events such as client networking functions, corporate hospitality events, and partnership activations. Manage events end‑to‑end — including concept development, guest list management, invitations, registrations, venue booking, catering, AV requirements, logistics, and on‑the‑day delivery. Manage on‑site event management within the Aitken Partners office — including event space preparation, room set‑up and pack‑down, coordination of AV and presentation requirements, and management of in‑house food and beverage service. Coordinate off‑site events and sponsorship hospitality (e.g., corporate boxes, partner activations, networking functions) ensuring Aitken Partners’ brand and client experience standards are met. Manage both on‑site and off‑site events, ensuring a consistent and professional brand experience. Track event attendance, engagement and follow‑up activity through CRM and marketing systems (e.g., HubSpot, Client Sense). Produce post‑event reports outlining performance against objectives, attendee feedback and ROI insights. Provide recommendations for continuous improvement and innovation in event delivery. To work 3 days a week, Tuesdays, Wednesdays and Thursdays but with a flexible approach to change days and the capacity to work occasional evenings as required for events. Role to commence end of January 2026 Skills & Experience To be successful in this role, you will possess a unique blend of technical expertise and interpersonal skills: 3–4 years’ experience in event coordination, preferably within a law firm or professional services environment. Proven ability to manage events end‑to‑end. Experience managing both internal event spaces and external venues. Strong organisational skills with the ability to manage multiple tasks and deadlines. Excellent communication and interpersonal skills, with the ability to engage with a diverse range of stakeholders. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software. A proactive attitude and the ability to work independently and as part of a team. Tertiary qualification in Marketing, Communications or Event Management (desirable but not essential). Why Join Aitken Partners?
