Business Systems Analyst – ECM & Workflow Specialist Brisbane Contract Duration 6 January 2026 – 24 December 2026 Overview The organisation is delivering a major Enterprise Content Management (ECM) transformation as part of a broader Information Management initiative. This multi‑year program replaces seven legacy systems and impacts operational and corporate functions across the organisation. The Business Systems Analyst will play a critical role in requirements development, workflow automation, metadata design, information governance, and implementation readiness. This position requires strong business systems analysis capability, experience in ECM and workflow‑driven environments, and the ability to translate business needs into clear, solution‑ready requirements. Program Context Replacing seven legacy repositories including email‑based, document management and collaboration platforms. Delivering a new ECM platform incorporating enterprise workflows, process automation, metadata and taxonomy frameworks, and records and retention compliance. Supporting data migration, change management, solution design, roadmap definition and information governance alignment. Operating within a structured delivery program with Agile elements, based in Brisbane. Position Purpose The Business Systems Analyst will lead requirements discovery, workflow modelling, and solution‑centric analysis. The role ensures business needs are clearly defined, validated and translated into functional, non‑functional and integration‑ready specifications. You will document current‑state processes, analyse business pain points and design future‑state processes aligned to the ECM strategy and information governance frameworks. Key Responsibilities 1. Business Analysis & Requirements Development Lead Business Analysis Planning and Monitoring activities. Define the business analysis approach, stakeholder analysis and communication plans. Conduct elicitation for business, functional and non‑functional requirements. Document As‑Is and To‑Be processes, business rules and analysis outcomes. Prioritise and maintain traceability of requirements throughout the delivery lifecycle. 2. ECM, Workflow & Information Management Analysis Translate functional requirements into solution‑ready designs for the ECM platform. Model and optimise workflows using BPMN (low to medium complexity). Define workflow triggers, stakeholder interactions, business rules and record‑forming steps. Ensure alignment with information governance, security and classification standards. Support onboarding and collaboration with the selected ECM implementation partner. 3. Metadata, Taxonomy & Records Governance Contribute to metadata schema and taxonomy design. Apply retention and disposal frameworks and records governance standards. Support policy alignment and information management framework development. 4. Integration & System Consolidation Assist in the consolidation of seven legacy systems into a unified ECM environment. Support workflow alignment and “join‑the‑dots” integration analysis. Contribute to data migration definition and validation including mapping and transformation logic. 5. Solution Delivery & Program Support Develop Business Requirements Specifications and Functional Specifications, including interface and configuration requirements. Collaborate closely with project management, application owners, architecture, data migration, configuration and testing teams. Support implementation readiness activities across the program. Contribute to meeting quarterly program KPIs and other project requirements. Skills & Experience Profile Essential Strong experience as a Business Systems Analyst in medium‑to‑large corporate or government environments. Demonstrated experience with ECM platforms and workflow engines. Skilled in BPMN workflow modelling. Proven ability to develop business, functional and non‑functional requirements. Experience in metadata schema design and taxonomy development. Understanding of information governance, records management, retention and disposal schedules. Ability to engage diverse stakeholders across technical and business domains. Highly Desirable Experience with legacy content systems such as document management platforms, collaboration tools or email repositories. Experience working on multi‑system consolidation or migration programs. Background in data migration. Exposure to onboarding or working with ECM solution vendors. Delivery Environment Large multi‑disciplinary delivery program including configuration, testing, data migration, service enablement and solution architecture.
