Executive Assistant to CEO

About the Opportunity We’re looking for a talented Executive Assistant to provide high‑calibre support to our clients CEO and CFO in a fast‑growing ASX‑listed organisation. This is far more than diary management – it’s a strategic business partner role, offering broad exposure across executive leadership, board governance, internal communications and company‑wide initiatives. This is a great opportunity to join a close‑knit EA team and play a vital role in shaping how senior leadership operates day‑to‑day and over the long term. Key Responsibilities Provide comprehensive EA support to the CEO and CFO: calendar and inbox management, travel, correspondence and prioritisation. Act as a trusted gatekeeper and adviser – filter requests, manage workload, and protect executive focus time. Coordinate the full board‑paper process: receive, prioritise, track reviews and feedback, and liaise with Company Secretariat team for distribution. Support executive team meetings and quarterly leadership off‑sites, handling agendas, logistics, travel and follow‑ups. Partner with Internal Communications for CEO and leadership messaging: monthly all‑staff updates, leadership forums, video communications and ad‑hoc comms. Manage periodic town halls, investor‑related scheduling and financial‑results cadence. Provide secondary support to the CFO including team comms and town hall coordination. Mentor a national EA team – ensuring consistency, sharing best practices, onboarding, and supporting cross‑EA collaboration. Participate in EA recruitment and onboarding as required. What We’re Looking For Proven EA or Executive Support experience at a senior level in a listed company or large corporate environment. Highly organised, proactive and able to thrive under changing priorities and tight timelines. A strong communicator with excellent written and verbal skills, able to liaise confidently with senior executives and stakeholders across the business. Comfortable with ambiguity and able to work independently – anticipate needs, exercise sound judgement, and problem‑solve on the go. A collaborative mindset – capable of building relationships across leadership, comms, finance, investor relations, and the EA cohort. Demonstrated ability to manage board‑level documentation and governance processes (or similar high‑volume, high‑detail work). A "get-things-done" attitude – someone who can think on their feet, adapt, and stay calm under pressure. Flexibility for some travel (interstate quarterly off‑sites) and occasional site visits. Why you’ll love this role Work closely with senior leadership, gaining broad exposure to company strategy, board governance, internal communications and senior stakeholder management. Be part of a strong, collaborative EA team where your voice will be heard and your contribution valued. Work in an evolving environment, where no two days are the same. A role with genuine impact – helping shape how leadership operates, what priorities get attention, and how the business moves forward. Competitive remuneration package commensurate with experience. Location and Work Style Based in Melbourne, with a hybrid model. Typical expectation of 4 days per week in the office. Some interstate travel for quarterly leadership off‑sites and occasional site visits. Interviewing Immediately – Apply now #J-18808-Ljbffr
