We’re Made for More. Due to an internal move, WesTrac is currently seeking an experienced Customer Coordinator to join our Component Rebuild Centre (CRC) Branch. This role will be Monday‑Friday full‑time at head office in Tomago, with potential for hybrid working arrangements. Reporting to the Service Support Supervisor, the Customer Coordinator acts as the single point of contact between the customer and the CRC workshop while repair/rebuild of customer components is being completed. The role is accountable for ensuring an exceptional customer experience through effective communication and advice. It involves managing work in progress (WIP) to ensure jobs are completed within agreed timeframes and approved scope/budget, coordinating customer component repairs from arrival to completion and invoice, and investigating maintenance costs to deliver value‑driven solutions. Key Responsibilities Establish and maintain effective customer relationships as the single point of contact. Seek quote approvals with customers prior to work commencement or scope variations. Provide repair and service solutions/options in consultation with the workshop and/or Sales team. Communicate progress and expected completion times/dates to customers. Liaise with internal departments to ensure customer expectations are met or exceeded and internal cost allocations are approved. Ensure all work orders are invoiced and processed; investigate and resolve disputed invoices. Provide weekly reports on outstanding WIP and forecast month‑end sales. Skills & Experience Highly developed customer service skills and understanding of effective Customer Management. Excellent interpersonal, written and verbal communication skills. Intermediate computer literacy, including Microsoft Office. Excellent organisational skills with the ability to manage fluctuating workloads and prioritise. Analytical, problem‑solving and negotiation skills to resolve issues and customer disputes. Ability to work effectively within a team and autonomously.
